Job Description:
Overview of the role: The Commercial Officer will be part of and support the Integrated Project Team (IPT) covering Telecoms Payload equipment procured from the Supplier and their sub-tier supplier.
Responsibilities: The TP Commercial Officer shall be responsible for and carry out the following:
* Issue of Request For Proposals (RFP) / Request For Information (RFI)
* Evaluation of quotations and proposals
* Preparation of Tender Evaluation Board documentation (where necessary)
* Drafting, agreement and release of standard Internal Work Orders
* Work Order updates and changes
* Ensuring all Work Orders and changes are correctly logged in SAP
* Completion of Purchase Order creation form and ensuring signed agreements are correctly logged in SAP
* Supporting the telecoms bid team in Portsmouth in obtaining bid inputs from Project and their lower-tier supplier.
The TP Administration Officer shall be responsible for and carry out the following:
* Document Processing:
* Reviewing and processing minutes in WindChill, document change management
* Distribution of documents in a timely manner as per Customer requirements, via WindChill, SharePoint, Airbox, and FTP
* Downloading and Uploading data using FileZilla or FTP Server
* Creation of internal Data packs for major events and project documentation
* Action Control, Tracking, and Chasing outstanding actions, including uploading actions to Jira
* Jira Support: uploading actions, creating filters, dashboards, and reports, providing training if needed
* Chasing outstanding documentation
* Assisting engineers with technical administration
* Printing presentation materials
* Managing access permissions for Project Shared Drives
Meeting Co-ordination:
* Visitor Requests, Escorting, Catering, UK visits
* IM Support for Meeting rooms
* Calling notices and Major Review Coordination
* Organizing on-site and international meetings and visits
Travel and Expenses:
* Providing information on Travel/Expenses tools
* Organizing business travel
* Processing travel for Project Manager, including amendments, cancellations, and security briefing arrangements
Maintain:
* Distribution Lists, Project Directory, and project environment improvements
Additional tasks include attending meetings, supporting teams, ordering stationary, providing IM support, customer support, organizing deliveries, and supporting other business areas.
Skillset & Experience:
* Essential: Confident communicator, proficient in WindChill, Jira, Airbox, SharePoint, organized, fast learner, able to multitask.
* Desirable: Ability to interpret Management Dashboard data, support stakeholders, and completed Export Compliance Training.
