Job Profile – Finance and Operations Lead, Balanced Economy Project

Location: flexible
Contract type and length: consultancy or FTC arrangement (depending on candidate´s location) of 2 days per week (between Monday and Thursday), for six months
Preferred start date: Before 25 May 2026
Salary: negotiable, depending on skills and experience. When applying please state your expected range or day rate, with consideration to the fact that Balanced Economy Project is a small not-for-profit
Working arrangements: work from home with own device used, flexible hours
Purpose
Responsibility for monitoring financial and operational management and performance of the Balanced Economy Project. Provides strategic financial and governance support to the Executive Director and Board.
Reports to: Executive Director
The main responsibilities of the Finance and Operations Lead are:
Finance and contracting
* Support and advice to the Executive Director regarding finance and operations
* Ensuring tools and processes are in place for effective budget keeping, project planning monitoring, financial management and compliance (statutory and contractual)
* Bookkeeping (in Xero)*
* Long-term financial and project planning, cash flow forecasting treasury management and reserves planning
* Oversee monthly treasury cycle
* Regular financial updates to the Executive Director and Board
* Upholding and monitoring compliance with BEP´s policies and internal control procedures.
* With external accountants, preparation of the annual statutory accounts* Payroll, expense reimbursements, purchasing, invoicing*
* Contract tracking, setting up new suppliers as required
* Work with external payroll administrator
* Coordination of annual budgeting, forecasting, and project planning to support the Executive Director and Board in strategic decision-making.
Fundraising and donor reporting
* Track the progress of Balanced Economy Project’s fundraising work
* Participate in the development of fundraising proposals / contract negotiations, providing sign off on financial resourcing plans
* Manage donor contracts and ensure full compliance Lead on preparations of donor financial reports, ensuring they are submitted on a timely basis
* Project management the implementation of BEP´s Income Generation on Strategy
People & Organisational Development
* Support the Executive Director on implementation of HR policies and employer responsibilities.
* Provide operational HR support for the Balanced Economy Project’s team, people, and culture. development, ensuring that line managers have the tools and support to fulfil their roles.
* Provide ad-hoc HR support to the Executive Director as required (policies, grievances, performance management, etc).
* Facilitate and provide induction and training to new members of staff
Governance & Risk
* Supporting the Board, including drafting Board agendas and papers and supporting the organisation of Board elections
* Produce and report on the quarterly risk register
* Support Board Chair / Company Secretary with statutory filings and compliance matters
* Lead on the procurement and renewal of insurance
* Act as the Data Protection Officer for Balanced Economy Project
* Ensure BEP´s information is up to date in external databases (e.g. EU Transparency Register)
* Liaise with external legal practioners when required.
Systems and impact tracking
* Continuously review, evaluate, develop and implement systems that support effective delivery of Balanced Economy Project´s work.
* Point of contact for emails, soware, hardware, and subscriptions and provide support to users.
