Title: IT Asset Manager
Grade: HEO
Total remuneration: £47,590 to £54,482
Pay Supplement: The base salary for this role is £41,026 -£46,968. This job qualifies for the Digital, Data and Technology Annual Pay supplement (currently16%) which is included in the total remuneration above.
Pension: (RoS contribution).
Annual leave: 38 days annual holiday, increasing to 42 days with length of service.
Duration: Permanent.
Working Pattern: 35 hours per week. We are a flexible employer and will consider a variety of working patterns on a case-by-case basis. For example, compressed hours, term-time working or part-time working.
Location: Hybrid working model. Contractual base either at Meadowbank House, Edinburgh (EH8 7AU), or St Vincent Plaza, Glasgow (G2 5LD). The nature of this role will necessitate regular on-site working.

The Role
Responsible for overseeing all IT Asset Management (“ITAM”) activities across the organisation.

6. Oversee and optimise the management of IT assets throughout their lifecycle, from acquisition to disposal.
7. Work with Product Managers to ensure that RoS has the right IT assets to meet its current and future needs, while minimising costs, risks, and waste.
8. Ensure compliance with legal, contractual, and regulatory requirements related to IT assets.
9. Improve IT service quality and efficiency by reducing downtime, enhancing performance, and facilitating upgrades and replacements.
10. Maximise IT asset value and return on investment by aligning IT assets with business objectives, reducing unnecessary spending, and identifying opportunities for reuse and redeployment.
11. Minimise IT asset risks and liabilities by ensuring proper security, maintenance, and disposal of IT assets, as well as tracking and reporting on IT asset inventory, usage, and ownership.
12. Support IT asset governance and strategy by providing accurate, trustworthy and reliable data and insights on IT asset performance, costs, and trends, as well as supporting decision-making and planning processes.

On a typical day you will…

13. Oversee the asset discovery process to identify all IT assets within the organization.
14. Develop and implement an effective asset management strategy.
15. Build, maintain, and regularly update the company’s IT asset inventory including (but not limited to) hardware, software licenses and digital certificates.
16. Evaluate the organisation’s asset requirements and coordinate their acquisition.
17. Create, implement, and optimise policies for the acquisition, maintenance, and disposal of assets.
18. Ensure assets are compliant with organizational policies throughout their lifecycle.
19. Manage day-to-day asset processes including:
20. inbound deliveries including unloading and recording of new assets
21. outbound deliveries including liaison with couriers
22. managing stock control (including space management)
23. analysis of product supply levels
24. predict inventory problems and shortages.
25. producing regular reports and statistics on stock levels and consumption rates
26. coordination of re-stocking requirements and procurement
27. coordination of WEEE equipment recycling
28. Build and maintain strong stakeholder engagement with Service Desk, Procurement, IT Enablement, Estates, Finance and Product teams Continuous improvement of inventory management processes and practices
29. Develop opportunities for asset management in other areas within RoS and develop strategies to extend our principles and practices into those areas
30. Knowledge Base articles to be created, regularly reviewed, and updated for each process

Essential Criteria – Skills and Attributes for Success

Technical Experience
We will assess you against the following Technical Experience during the application and the assessment process:

31. Strong understanding of ITIL processes, including change, incident, and problem management.
32. Previous experience of IT Asset Management in an ITIL environment including hardware, software, licenses, digital certificates, warranties, end-of-life disposal.
33. Knowledge and experience of inventory management system principles
34. Experience of using Service Now or equivalent ITAM and ITIL software tools for asset management, asset tracking, and data analysis
35. Excellent MS Excel skills
36. Excellent communication, organisational and time management skills
37. Excellent decision-making skills, high attention to detail and the ability to work independently

This post is part of the Digital, Data and Technology profession (DDAT) and attracts a pay supplement. The DDaT allowance is applied to the role and not you as an individual. Therefore, in future, if you move to a role that does not attract this allowance, the allowance would be withdrawn.
