This role is temporary for a period of 6 months. Unfortunately we are unable to provide visa sponsorship to candidates.

Ellab is a complete solutions provider covering validation services, calibration services, monitoring, and temperature mapping systems along with a comprehensive Instrumentation Product portfolio. With over 100 employees in UK and Ireland and offices, our specialist teams work guarantee that we're a trusted partner to the world's largest pharmaceutical companies.

As Internal Sales and Logistics Administrator, you will play a pivotal role in driving sales & coordinating activities of the sales team. You will liaise with the marketing team, finance team, and the senior leadership team. You will actively seek out and engage potential clients, driving revenue growth through the sale of Ellab's instruments and services while offering after sales support to customers. The ideal candidate should be self-motivated, detail orientated and willing to lead a team.

What you will be doing in this role?

The Sales and Logistics Internal Sales Support Team play a critical role in ensuring the seamless operation of sales processes and logistical functions within the UK and Ireland region of Ellab. This team acts as the backbone for the sales department by providing administrative support, coordinating customer orders, managing logistics, and ensuring timely delivery of products and services.

The team collaborates closely with sales, marketing, delivery, and customer service to deliver high-quality service and maintain customer satisfaction, leveraging each department's expertise to streamline order fulfilment, resolve customer inquiries more efficiently, and ensure seamless communication throughout the process.

Key Responsibilities:

* Process customer orders, ensuring accuracy and timely entry into the system.
* Prepare and support finance with customer invoices.
* Manage 3rd party equipment sales and service requests.
* Coordinate logistics for engineering support.
* Arrange shipping and courier services.
* Manage shared email accounts and process incoming inquiries.
* Process purchase orders (both inbound and outbound).
* Coordinate with logistics partners and internal departments to arrange product shipments.
* Track and manage equipment delivery schedules, proactively addressing any delays or issues.
* Communicate order status and shipment updates to sales representatives and customers.
* Assist in resolving customer inquiries and complaints related to orders and deliveries.
* Maintain accurate records of orders, shipments, and customer interactions.
* Collaborate with cross-functional teams to ensure alignment on order fulfilment priorities.
* Provide administrative support to the sales team, including report generation and data analysis.
* Facilitate collaboration between the UK and Ireland regions, driving synergy as one unified region.
* Manage quoting responsibilities including new business, recurring business, contract renewals, and backlog review.
* Manage distributor relationships including TPASS, Alvotec, Rototherm, Gwentec, Mason Technology, Isatec, JTF, Biomap, Ramcare, and Guardtech.
* Administer 3rd party equipment sales and service including Ametek, Wika, Shocklog, Alvotec, Randox, and ABEC.
* Support logistics for engineering, including hotel and travel bookings, equipment breakdown, and spare parts coordination.
* Coordinate logistics shipping, including shipping, couriers, and RMA/E-Service.

Cross Functionality and Knowledge Overlap

To promote operational continuity and minimise disruptions, the team will implement a primary and secondary support structure for critical tasks. This structure will be documented in a shared resource accessible to all team members, with regular updates communicated during team meetings. Each core responsibility will have a designated primary and secondary team member to ensure comprehensive coverage in the event of absences or workload surges.

Skills and experience you will bring to Ellab

We are looking for a colleague who is proficient in sales ordering and CRM tools (e.g Salesforce), who has a strong attention to details for data accuracy and contract compliance. You will have excellent collaboration skills and are self-driven, proactive, positive with a can-do attitude. You are a strong and natural communicator verbal as well as written and your work approach is structured and systematic.

Occasional travel to our office in Ireland may be required for training purposes.

Furthermore, we expect you to have:

* Minimum 2-3 years of relevant experience
* Previous experience working with 3rd party vendors, distributors or service providers
* Experience with international shipping/logistics
* Background in supporting engineering teams or technical sales is beneficial
* Good technical understanding
