Overview
Legal Secretary – Commercial Litigation – London
Working as part of a team, you will provide an excellent standard of secretarial support to the commercial litigation team and may support across other practice groups as required. You will work individually and as part of a team to act as a point of contact for lawyers and ensure the effective completion of their work, delivering high-quality workflow management and client service.
Note for Candidates: This role will require working from our office 4 days per week.
Responsibilities
* Client Relationship Management
o Keep up to date with client-specific protocols and processes; provide guidance and training to others where necessary; monitor ongoing requirements.
* Administrative
o Use secure systems and manage passwords; email management (filing, saving, locating, deleting, responding where applicable); manage inbox on behalf of colleagues as required.
o Print, file, photocopy, scan, fax and archive documents; maintain up-to-date client contact information.
o Update document bundles for fee earners; keep case files organized.
o Assist with billing and accounts queries; answer and make calls; book client and internal meetings; arrange travel.
o Assist with ad-hoc business development activities; maintain required knowledge; handle outgoing correspondence with encryption where needed.
o Manage external client case management systems and generate electronic bundling; run ad hoc documents; knowledge of client onboarding, AML and conflict checks.
o Occasional preparation of correspondence from digital dictation; maintain a clean and secure office; handle confidential information per data security protocols.
* Communication
o Be the key point of contact for lawyers to maintain relationships and provide high-level support.
o Monitor post and emails; draft responses; prioritize emails; compile paperwork and e-file; liaise with colleagues and other departments as requested.
o Provide coverage and assistance within the department as needed; coordinate with STL for planned absences.
* Financial
o Engage in the billing process: input time, understand rates and client preferences, and manage billing narratives with input from the fee earning team.
o Review time allocation and disbursements; assist with WIP process and related finance administration (BACs, TTs, etc.).
o Process expenses and handle related financial tasks.
* Customer Service
o Arrange and attend team meetings; liaise with lawyers, STLs and Secretarial Managers; keep service users updated on progress.
o Proactively offer assistance and support to colleagues where possible.
* Firm-wide
o Understand and operate as part of an international firm; manage risk and compliance, including data security; work to mitigate commercial risk.
Qualifications and Skills
* Proven experience as a Legal Secretary, preferably in a legal or professional services environment.
* Aptitude for managing multiple priorities; producing high-standard documents and client communications.
* Advanced knowledge of Microsoft Office and of document management/case management systems.
* Strong communication skills with a customer-focused approach; able to provide exceptional service.
* Experience in managing client-facing tasks with a hands-on, practical approach.
* Problem-solving mindset with the ability to investigate issues and see tasks through to completion.
* Conscientious, with personal accountability for work quality and delivery.
* Excellent teamwork, willingness to take on new responsibilities, and a positive can-do attitude.
* Discretion and confidentiality; able to manage sensitive information and adhere to data security protocols.
* Well-organised and methodical with meticulous attention to detail in client communications and deliverables.
