Main duties of the job
We are looking for an organised, motivated, and enthusiastic Medical Secretary to join our friendly team at our GP practice. This is a rewarding and varied role supporting GPs, managers, and healthcare professionals with a wide range of clerical and administrative duties.
Key responsibilities include providing efficient audio and copy typing services (letters, reports, referrals, minutes, and memorandums), maintaining accurate patient records, and ensuring secure use of computer systems. You will be responsible for making appointments, bookings, and admissions, liaising with patients and professionals, arranging and attending meetings, and taking minutes. The role also involves supporting surgical services, COVID and influenza vaccination programmes, and assisting with audits and statistical reporting.
The successful candidate will be computer literate, have excellent communication skills, and be confident in dealing with patient queries both over the phone and in person. You will also help manage correspondence, maintain filing systems, dealing with patient requesting eg. reports, letters etc

MainResponsibilities
* To provide an efficient audio, copy typingand word processing service for GPs and health professionals as required.This includes the typing of letters, reports, patient referrals, minutes,memorandums, etc. in an accurate and quality manner.
* To assist the managers with all clerical andadministrative duties.
* To make appointments, bookings and admissionsas required.
* Supporting with the COVID Vaccine booking andadministration.
* To liaise and arrange meetings (to includethe booking of rooms) as required and to attend meetings and take minutes.
* Support the surgical services work and team.
* To establish and maintain filing andadministrative systems so that written or computer information is easilyaccessible and secure.
* To retrieve medical records and assist thecompletion of medical/insurance records.
* File patient records and correspondence inpatient medical records.
* To receive incoming and initiate outgoingtelephone calls in order to facilitate timely and appropriatecommunications with others, taking messages and dealing with appropriatequeries.
* To maintain the computer clinic system in anaccurate and secure manner.
* To assist with the gathering of statisticsand information when required, including supporting in audit work formanagers and healthcare staff.
* Carry out audits as directed by managers andhealthcare staff.
* To provide cover for members of thesecretarial team during periods of sickness and annual leave.
* In liaison with the clerk responsible,maintain adequate supplies of office stationery in order to performsecretarial duties.
* To receive and dispatch mail and maintain apending system.
* Other reasonable roles associated withclerical or administrative work of a secretary.
* Provide support to and where needed work withthe any team, including the reception and admin teams to cover gaps inrotas or staffing in times of need to ensure a smooth running of thebusinesses and practice.
Person Specification
Qualifications
* Educated to GCSE level or equivalent, including Maths and English (C or above)
* Secretarial/word processing/medical terminology qualifications
Experience
* Good typing skills 60+ WPM
* Experience of working with the general public
* Experience of administrative duties
* Good command of English
* High standard of grammar and spelling
* Ability to work on their own and as part of a team

* Experience of working in a health care setting and/or General Practice
