Role Profile

Penshaw View are a consultancy services and training provider, offering HR and H&S consultancy and delivering a variety of training programmes, including apprenticeships, throughout the UK.

As a result of internal progression, a new opportunity for a Business Support Administrator has arisen within our growing business.

The Business Support Administrator will be responsible for a variety of administrative tasks and duties, supporting multiple areas of the business. This is a full-time permanent role, and the successful candidate will be supported to undertake the level 3 Business Administration Apprenticeship internally, as part of the role.

* Provide administrative support to all business operations, including data input and assisting with the preparation of reports using relevant information systems.
* Ensure general filing of electronic and paper correspondence is accurate and kept up to date.
* Build and maintain positive working relationships with colleagues and clients.
* Answer phone calls, take messages and connect calls to proper departments, always representing the business professionally.
* Completion of Health and Safety Vetting forms.
* Communication with external stakeholders.
* Prepare and manage invoices.
* Produce and manage commercial course booking forms.
* Management of documentation.
* GDPR compliant data processing.
* Undertake departmental administrative projects as and when required.
* Proactively identify and undertake appropriate CPD activities to support personal development within the role.

Competencies

* Good oral and written communication skills.
* Good IT skills, including use of Microsoft packages (Excel, Word, etc.).
* Good organisational skills with an ability to manage own workload and priorities to meet deadlines and respond to changing priorities.
* Able to prioritise work against competing and challenging demands to meet deadlines.
* Ability to multitask.
* Excellent interpersonal skills, including the ability to deal with primarily telephone and occasionally face-to-face enquiries in a courteous and patient manner, providing a high level of customer care and always representing the company professionally.
* Ability to exercise discretion and confidentiality.
* Ability to work as part of a team and a flexible approach in order to adapt to changing work requirements.
* Ability to follow clear directions.
* Ability to produce work of a high standard with a high level of attention to detail.
* Ability to challenge errors and processes that can be simplified and improved.
* A positive ‘can-do’ attitude.
* Demonstrate a keenness to learn and take direction.
