Job Title: Administrative Support Officer (Part-Time, Band 3)
We are seeking a motivated and enthusiastic individual to join our busy community Learning Disability Health Team. This is a part-time, 22.50 hours per week, permanent role supporting both the city and county teams, with some movement between bases as required. The role involves:
* Covering the main reception desk
* Attending calls and enquiries
* Liaising with partners and organisations
* Booking clinics
* Managing referral and allocation processes
* Monitoring waiting lists and logging referrals
* Performing admin and clerical tasks for a multi-disciplinary team
The role also supports the administrative and clerical functions across the Corporate portfolio to ensure seamless customer service for internal and external clients. It requires flexibility across the portfolio, with a primary assignment, and aligns with the Trust's ambitions for service transformation and sustainability. Key Responsibilities:
1. Providing routine information and reception cover, including responding to queries, handling correspondence, and assisting patients and visitors.
2. Making decisions on how to handle enquiries, prioritise work, and resolve scheduling conflicts.
3. Data entry and management using various systems, including electronic patient records.
4. Understanding and complying with relevant policies and procedures such as confidentiality, data protection, and governance.
5. Planning and organising straightforward tasks, including typing reports, disseminating information, and managing resources.
6. Maintaining stock control and security of resources like stationery and medical supplies.
7. Providing guidance to new or less experienced staff and undertaking surveys or audits as necessary.
Additional information:
* High response levels may lead to early closure of the application process.
* Priority will be given to NHS staff at risk of redundancy, meeting essential criteria.
* All new employees will undergo a 6-month probationary period.
* Clinical staff in bands 2-4 will complete a Care Certificate.
* Applicants should have good communication skills, be approachable, and possess broad IT skills, including minute-taking and spreadsheet management.
The post is within a service that offers support from an established admin team. The role requires experience in Learning Disabilities or Health/Social Care Services, but training and guidance will be provided.
