Project, Operations & Procurement Admin Support
Location: Bedford
Contract: Full-time, permanent 
Salary: Up to £35,000 per annum, depending on experience
Looking for a varied, hands-on role where no two days are the same?
We're working with a well-established business that's looking for a proactive and organised Project, Operations & Procurement Admin Support to join their busy Operations team in Bedford.
This is a great opportunity for someone who enjoys keeping things running smoothly coordinating projects, maintaining accurate records, and supporting communication between departments, customers, and suppliers.
What You'll Be Doing:
 1. Project Administration
 2. Create and maintain project folders upon receipt of customer purchase orders.
 3. Upload and process orders on the ERP system, tracking progress and managing shortages.
 4. Support internal project handovers and issue customer handover documentation.
 5. Prepare despatch notes, commercial invoices, and packing lists for outgoing goods.
 6. Assist with compiling and finalising Operation & Maintenance (O&M) manuals.
 7. Ensure all project records and documentation are complete and audit-ready.
 8. Support Project Managers with post-delivery activities such as installation and commissioning.
 9. Help with contract documentation submissions
 10. Procurement Coordination
 11. Maintain accurate records of supplier communications and purchase orders.
 12. Liaise with suppliers to track deliveries and resolve any delays or discrepancies.
 13. Raise and process small purchase orders (stationery, consumables, etc.).
 14. Keep supplier documentation current for audits (certificates, insurances, questionnaires).
 15. Support invoice queries between suppliers and the internal accounts team.
 16. Maintain pattern registers, certifications, and other procurement-related documents.
 17. Communicate clearly with customers and suppliers, providing updates and documentation as needed.
What We're Looking For
 18. Previous experience in an administrative, operations, or procurement support role.
 19. Ideally, experience in a manufacturing, engineering, or project-based environment.
 20. Strong organisational and coordination skills with excellent attention to detail.
 21. Good communicator - professional, approachable, and clear.
 22. Confident using Microsoft Office (Word, Excel, Outlook) and document control systems.
 23. Ability to manage multiple tasks and priorities effectively.
 24. A proactive, solutions-focused attitude.
Working Hours
Monday - Thursday: 08:00 - 16:30
Friday: 08:00 - 13:30
Early Friday finish - start your weekend early!
