Job Title: Operations Manager Department: Commercial Property Management Location: Priory Meadow Shopping Centre, Hastings Working Hours: Monday - Friday (9:00am to 5:30pm) and one Saturday a month (day off in lieu) Principal Objective To assist and support the Centre Manager in the effective day to day running of the Shopping Centre with specific responsibility for all operational aspects. This will include the Centre’s cleaning and security contracts, the planned maintenance programme and the implementation of approved tenant shop fit out works along with the Managing Agent. The jobholder will deputise for the Centre Manager when required and carry out the role of Duty Manager on a roster basis with other members of the Centre Management Team. Duties and Responsibilities
1. Responsible for the daily supervision of the cleaning and security contracts for the site to ensure that:-
2. Oversee the work of the on-site engineers (control and issue all permits to work), dealing with any queries or incidents in relation to their maintenance programme. Responsible for the management of on-site contractors dealing with day-to-day repairs of the Centre’s fabric and equipment; including ordering and authorisation of equipment necessary to ensure optimum and cost-effective maintenance of the Centre. Maintain awareness of ongoing expenditure against budge as well as responsibility for the update and management of the Centre’s PPM maintenance and servicing records.
3. Manage health & safety requirements for the Centre, liaising with the Centre Manager, Security Manager, Cleaning Supervisor, Fire Officer, Managing Surveyor and Facilities Manager as appropriate, to ensure that all Health & Safety obligations for the Centre are met in line with both insurance and legislative requirements.
4. Investigate incidents that may lead to public liability insurance claims and take necessary steps to ensure that such incidents are kept to a minimum through active management initiatives in conjunction with the Security Manager and Cleaning Supervisor ensuring that any such incidents are appropriately recorded and reported to the Centre insurer.
5. Assist in the production of the Centre’s emergency plans/procedures and Disaster Recovery Plan and co-ordinate the communication to all tenants.
6. Develop and maintain good relationships with retailers through regular contact and visits to units plus attendance at quarterly retailer meetings; deal with all technical based queries or problems that are experienced and raised by retailers.
7. In conjunction with all members of the management team oversee commercialisation traders on the mall, ensuring that all comply with Health & Safety requirements and mall policy to ensure all meet the standards required.
8. In conjunction with Managing Agent assist with shop fits for all new lettings at the Centre and any alteration proposals for existing retailers, including the design and the management of the fit out process considering all common systems and ensuring that the insurer is kept informed.
9. Be aware of corporate environmental policy, environmental targets and KPIs set by the Landlord, re-cycling targets, monitor progress and evaluate regularly to continually improve the Centre’s environmental achievements in line with sustainability reports.
10. Liaise with the Centre Administrator to compile and accurately track monthly energy consumption figures in the Centre and car park
11. Deputise in the absence of the Centre Manager and act as Duty Manager, including working Weekends and public holidays on a roster basis, as required, to ensure that the Centre operates effectively.
