Job overview

As part of the Trust’s Voluntary Services programme, to be responsible and accountable for the provision and management of Voluntary Service matters at the hospital site.


Main duties of the job

Work with the other Trust Voluntary Services Managers and the Head of Voluntary Services, within the laid down budgetary guidelines.

Support the Head of Voluntary Services with the development, review and operational implementation of the Trust Volunteer Strategy.

Lead on the sharing of professional guidance to colleagues on the role of the Voluntary Service and the involvement and management of volunteers in accordance with appropriate practices.

To manage and develop the Voluntary Services team on site, as part of the Voluntary Services department, with shared management responsibility for volunteers throughout the Trust.

Coordinate the recruitment, training, support, placement and retention of volunteers appropriate to their skills and experiences to maximise benefit to patients, staff and service users.

Ensure volunteers gain satisfaction and develop through their voluntary work and have a successful and enjoyable volunteer journey with the Trust.

Detailed job description and main responsibilities

Ensure that the coordination of meetings and placement of volunteers with departmental managers is a clear element of the volunteer journey with the Trust, ensuring mutual clarity on expectations and impact.

Be an active member of groups or committees related to volunteers/volunteering, attend VSM and service meetings, participate in discussions, and influence decisions about volunteering within the Trust.

Liaise with Trust Communications to promote the impact of volunteers; ensure activities are publicised to raise awareness of volunteering across the Trust and the wider community.

Provide information to colleagues, clinicians, departments, patients and clients as appropriate, leading the team to inform and support work.

Collaborate with other voluntary and statutory organisations with a volunteer presence on Trust premises, ensuring compliance with Trust policy and governance.

Oversee the production of a Voluntary Services newsletter and coordinate all digital platforms and social media messaging for the Trust.

Demonstrate innovative ways to show appreciation and recognition of volunteers’ contributions through schemes, awards and events.

Identify workload issues affecting the department and develop action plans to resolve them; coordinate volunteer expenses and maintain accurate records.

Provide support to other sites in the absence of their VSM; advocate for the development of Voluntary Services across the Trust to support high-quality patient care.

Manage day-to-day operation of volunteering, including administration, training, staff/volunteer contact, and partner agencies.

Identify volunteer opportunities, assess suitability, and coordinate the recruitment and placement process; ensure monitoring and evaluation of quality standards and budget management.

Maintain records of volunteering across the Trust for reporting; ensure GDPR compliance and data protection policies are followed.

Conduct inductions and training for volunteers; manage performance, training needs, and development; participate in appraisal processes.

Lead on complaints resolution related to Voluntary Services and implement improvements; ensure proper incident handling and problem-solving procedures.

Develop and maintain information systems to provide assurance and statistics; ensure records are accurate and up to date.

Coordinate volunteer expenses, monitor budgets, and ensure proper accounting of funds.

Maintain knowledge of volunteering within the NHS through professional networks and associations.

Be responsible for recruitment of staff within the Voluntary Service, including setting objectives, performance appraisals and training needs; monitor sickness/absence and conduct return-to-work interviews as needed.

Be aware of safeguarding and data protection obligations and ensure appropriate training for volunteers.

Ensure volunteers are supported and involved in developing new services to enhance patient experience.

Carry out recruitment, screening, induction and training of volunteers; ensure appropriate placement support.

Lead on evaluation of training needs and opportunities for volunteers and provide feedback mechanisms.

Monitor and resolve placement issues, including termination of placements if necessary, with guidance from VSM colleagues and Workforce.

Stay engaged with professional networks to maintain current knowledge of volunteering in the NHS.

Lead the resolution of complaints and implement improvements; maintain effective communications with stakeholders.

Handle sensitive information in line with the Data Protection Act and Trust policies.

Develop and maintain processes for payments of volunteer expenses and ensure expenditure remains within budget.

Undertake training as required and participate in the Trust’s appraisal process to discuss role impact on patient care.

Assist patients, visitors or staff during incidental contact.


Person specification


Essential and Desirable

* Educated to degree level; experience in NHS/Health and Social Care/Charitable/Voluntary/Public Sector; experience in team management, strategic and operational delivery, event organisation, public interaction; able to demonstrate relevant experience and ability to manage a complex workload; collaborative teamwork; understanding volunteering in the public sector.
* Excellent organisational and time management skills; ability to communicate with different audiences; strong interpersonal, written and verbal communication; ability to handle confidential/sensitive situations; proficient computer skills (Microsoft Word, Excel, Outlook); ability to prioritise and work under pressure; able to present to NHS/community groups.
* Excellent teamwork; ability to coach and support colleagues.
* Knowledge of HR/Recruitment practices; ability to apply legislation and best practice; commitment to continuous professional development.
* Ability to work autonomously; experience with volunteers or as a volunteer; supervisory experience; HR/Recruitment experience; mentoring/coaching experience; experience of interviewing.
