Role: Coordinator, Ethics & Independence, Reporting & Systems


Role Summary

Embedded within the Risk & Compliance Central Operations team and dedicated to the Global Ethics & Independence (E&I) programme, the Coordinator provides hands-on operational coordination support to enable the effective day-to-day running of E&I reporting and related processes.

This role focuses on coordinating activities across a large global Power BI reporting portfolio and associated intranet and support resources, helping to ensure accuracy, continuity, and timely delivery across multiple jurisdictions.

The role requires a detail-oriented and well-organised individual with strong coordination and communication skills, capable of tracking multiple parallel activities, maintaining clear documentation and providing regular status updates to senior stakeholders.


Key Responsibilities


Project Coordination

* Coordinate the update and maintenance of a global Power BI reporting portfolio consisting of 60+ E&I reports.
* Coordinate changes to the reports by:
* being the contact between E&I stakeholders, business users, and Power BI development teams.
* gathering and documenting change requests - making sure that the reporting requirements and clearly captured.
* monitoring project deadlines with the Power BI developers to ensure timely deployment of new reports or updates to existing reports.
* Monitor and track reporting development timelines, dependencies, and delivery milestones; proactively communicate progress, risks, and delays to stakeholders.
* Support and coordinate the maintenance of the E&I reporting intranet site, ensuring content, access, navigation, and documentation remain up to date.
* Monitor all 60+ E&I reports on a daily basis to ensure reports are functioning correctly and investigate errors or other issues promptly – escalating problems to the developers as and when necessary.
* Coordinate the administration and scheduling of annual report rollovers, refresh cycles, and pre-approved structural updates resulting from regulatory, policy, or programme changes.
* Assist with documenting reporting updates and coordinate their communication to users.


Project update reports

* Prepare and distribute regular status updates to the E&I team on project progress and delivery timelines.
* Ensure reporting documentation is current, accessible, and aligned with governance standards.
* Maintain version control, documentation repositories, and audit trails for reporting deliverables.


Coordination of ServiceNow related projects

* Coordinate and support the implementation of new ServiceNow-based E&I support processes, working within agreed scope and approvals.
* Liaise with E&I stakeholders to gather, clarify and document functional and reporting requirements for new and enhanced support services.
* Liaise with Global IT teams to coordinate the configuration and deployment of ServiceNow request forms, workflows, and dashboards.
* Track project timelines, dependencies, and actions, and coordinate stakeholder communications for each ServiceNow initiative.
* Assist with preparing draft briefings, process documentation, user guidance, and launch communications on agreed content.
* Track actions and open items, follow up on deliverables, and escalate risks or issues to appropriate owners where necessary.
* Support checks to confirm that reporting and data captured through ServiceNow align with defined operational and governance requirements.


Programme operations & continuous improvement

* Coordinate and maintain integrated programme timelines covering reporting, support processes, and related E&I initiatives, based on agreed plans and inputs.
* Track delivery activities across multiple workstreams, ensuring steps, approvals, and dependencies are documented and kept up to date.
* Produce weekly programme plans and status updates that summarise progress, risks, issues, and upcoming milestones for review.
* Assist with drafting programme reports and summary materials for leadership and governance forums based on agreed information.
* Maintain action logs, decision registers, and issue trackers and coordinate follow-ups with responsible owners to support timely closure.
* Identify and log potential opportunities for process or tool improvements and escalate suggestions to appropriate programme owners for consideration.


Required Skills & Experience (7+ years)

Essential

* At least 7 years’ experience in program coordination, project coordination, or PMO, ideally within a global accounting and/or regulated environment.
* Demonstrated ability to manage multiple concurrent projects with competing priorities and complex dependencies.
* Strong project planning and scheduling skills (critical path, dependencies, RAID logs, deliverable lifecycle).
* Excellent written communication skills, including drafting minutes, reports and executive summaries.
* High attention to detail and strong organisational and planning skills.
* Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel, SharePoint).
* Confidence working across multiple systems and platforms, such as LMS platforms, intranets, web tools and survey software.
* Clear and professional communicator, able to work effectively with a wide range of stakeholders.
* Proactive, reliable and comfortable managing multiple tasks at the same time.
* Enjoys operational work and supporting programmes that span multiple teams and regions.
* Strong operational capability and a willingness to learn and adapt.


Preferred

* Experience working with ServiceNow (request management, workflows, reporting).
* Background supporting teams in Ethics & Independence, Risk, Compliance, Governance, or Quality functions.
* Familiarity with global data governance, reporting controls, and audit-readiness.
* Experience maintaining intranet or internal knowledge sites.
* Project or programme management certification (e.g., PRINCE2, CAPM, PMP) considered an advantage.


Qualifications

Bachelor’s degree (Business, Compliance, Risk, Governance, or related field) or equivalent experience.

Project coordination/PMO certification a plus.


Measures of Success

* Timely coordination of Power BI report deliveries and enhancements in line with agreed requirements and developer schedules.
* Smooth coordination of annual rollovers and update cycles, based on approved plans and inputs.
* Effective implementation of ServiceNow support processes with coordinated documentation and user guidance to encourage adoption.
* Accurate and up-to-date programme plans, action logs, and status reporting maintained for visibility and follow-up.
* Positive stakeholder feedback reflecting clear communication, responsiveness and delivery discipline throughout reporting and support activities.
