Family Office & Principal
The Family Office, started in 2020 and managed by a CEO, is responsible for all of the two Principals’ personal projects and lifestyle management.
The Family Office is a highly collaborative, friendly and high performing team (c. 20 people). The Principals’ lives are well managed by a CEO, EAs, finance and property teams. They collaborate and communicate together to ensure operations run smoothly and partner effectively with the Principals to enable their day to day lives.
Personal Assistant
The Family Office is looking to hire a highly organised and proactive Personal Assistant to support one of the Principals. The candidate will be responsible for managing a wide range of administrative and support tasks, including helping with travel plans and reservations, keeping admin systems updated, supporting another team member on diary management and the smooth operation of various personal and professional projects.
They will report into the Senior Executive Assistant and work closely with the other Personal Assistant.
Experience as a Personal Assistant/Executive Assistant is essential. Ideally between 4 and 10 years' experience.
Key Responsibilities
General Administrative Support
* Provide day-to-day administrative assistance to ensure the Principal’s personal and professional affairs run smoothly.
* Maintain accurate records, files, and documentation across all relevant systems, ensuring information is up to date, well organised, and easily retrievable.
* Support the Senior EA with ad‑hoc administrative tasks, preparing materials, compiling information, and helping drive work forward across multiple ongoing projects.
* Assist with maintaining and refining internal processes, suggesting improvements that increase efficiency and reduce administrative friction.
* Assist with researching, sourcing, and coordinating high-value personal purchases, ensuring due diligence, quality verification, and smooth delivery or installation.
* Ensure confidentiality and discretion are upheld at all times given the highly sensitive nature of both personal and professional information.
Travel & Holiday Coordination
* Work closely with the Senior EA to plan and book holidays and travel, handling flight research and reservations, ground transportation, accommodation, restaurant bookings, and activity planning.
* Prepare detailed travel itineraries, ensuring all information is accurate, well‑structured, and delivered in a timely manner.
* Support in the organisation of large, complex trips coordinating with multiple suppliers, service providers, and internal team members.
* Proactively troubleshoot issues (e.g., last‑minute changes, cancellations, availability challenges) to maintain seamless travel experiences.
Fashion/Creative Support
* Support with creative and fashion‑related needs, including researching and sourcing rare, bespoke, or limited‑edition pieces from ateliers, designers, and specialist boutiques.
* Assist in curating looks for events, themed parties, and high‑profile social occasions, ensuring outfits are thoughtfully aligned with personal taste and event style.
* Where appropriate provide creative input for fashion concepts, fancy‑dress themes, and special‑event looks, bringing fresh ideas and a strong aesthetic eye.
Ad hoc diary Management
* When required work closely with another PA to support where necessary on diary management.
Candidate Profile
* Prior experience as a PA/EA: They will have demonstrable experience supporting senior‑level individuals in fast‑paced environments, managing complex diaries, travel, inboxes and logistics with professionalism, discretion and efficiency.
* Organisation and multi‑tasking abilities: They will be extremely organised, responsive and able to prioritise tasks efficiently in time‑pressured environments. Have excellent administration skills. Attention to detail is a prerequisite.
* Trustworthy, discreet, reliable and of high integrity: ‘Going the extra mile’ will define their approach to this role. The candidate should be resilient and adaptable and have the ability to handle ‘curve balls’.
* Creative: They will bring a creative flair and strong aesthetic sensibility and interest in fashion, style, and visual presentation. Ideally, they will have experience or exposure to fashion, styling, luxury retail, or other creative environments, enabling them to support with sourcing bespoke items, curating outfits for events, and contributing imaginative ideas for themed occasions.
* Communication and interpersonal skills: They will have a good sense of humour and will have the ability to interact with individuals from a range of backgrounds.
* Maturity, intuition, and high EQ: They must be proactive not reactive, flexible with a problem‑solving approach. Sensitivity and self‑assurance are crucial.
* Ability to work under pressure: They will be a problem solver with a ‘can do’ attitude and a pragmatic and creative approach to solutions and delivery often to tight deadlines.
* Strong team player: They will have charisma and gravitas without ego and be able to build strong working relationships with his extended family and business support.
* Flexible and adaptable: They will be able to adjust seamlessly to shifting priorities, changing schedules, and evolving demands while maintaining composure and efficiency.
* Self‑reliant: They will demonstrate excellent initiative with a positive attitude and will always be prepared ‘to roll up their sleeves and get their hands dirty’.

* Technologically adept: They will have a good working knowledge of Microsoft Excel, Office and other relevant software tools.
Additional Information
The office is based in London. The candidate should be available to travel as needed.
