Apley Farm Shop is a small historic complex of farm buildings home to a Foodhall with Deli, Butchery and onsite bakery, Kitchen Cafe serving local and seasonal produce, indoor Playbarn, outdoor play area and Nature Trail. It is also home to a range of small local businesses within a beautiful courtyard setting.
We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will possess strong organisational skills and a solid background in administrative tasks. This role is pivotal in ensuring the smooth operation of our office, maintaining the EPOS system, providing support to various departments, and maintaining an efficient workflow.
Job Summary
The Office Assistant supports company operations by maintaining office and EPOS systems, handling customer enquiries, and ensuring office supplies are always available. This role is key to ensuring internal efficiency and excellent customer service.
EPOS System Maintenance
· Monitor and maintain the EPOS system to ensure it is functioning efficiently, adding new products, removing old, updating pricing to meet expected margins, maintaining accurate stockholding and inputting stocktakes as required.
· Ensuring accurate input of products, allergens, pricing information, and product ingredients.
· Carrying out any other tasks as required to maintain the EPOS system.
· Assisting the accounts department with coding of invoices and matching to delivery notes and purchase orders ensuring these are provided to the accounts assistant for payment
· To liaise with suppliers and the accounts assistant to ensure accuracy of delivery notes and raising of credit notes as required.
Weekly / Monthly Reporting
· To be responsible for submission of EPOS system reports for sales, labour, margin, waste, product comparisons and others as required
· Liaise with the accounts assistant to provide reporting as required and ensure the accuracy of financial data provided
General Duties
· To answer customer enquiries by phone and email, ensuring excellent customer service by arranging bookings, resolving queries or transferring the customer to the correct department.
· To oversee hire of the conference room by completing bookings, checking customer requirements for equipment hire (ensuring this is provided), and raising invoices with the accounts assistant for food, drink or equipment provided.
· To place and maintain stationary orders for all office equipment including print supplies and departmental supplies ensuring always the best price.
Qualifications
* Previous office experience is essential, with a strong emphasis on administrative roles.
* Proficient computer skills, including typing speed and accuracy.
* Familiarity with Microsoft Office applications (Word, Excel, PowerPoint) and experience managing EPOS systems.
* Strong organisational skills with the ability to prioritise tasks effectively.
* Excellent attention to detail in all aspects of work.

Office Assistant (16 hours per week, can be split over 3 or 4 days, occasional weekend working, £12.21 p/hour)
