The role: We have an exciting opportunity for a Commercial Estate Coordinator to join the team. As one of three Coordinators, you will play a vital role in ensuring the day-to-day legislative compliance, contractor management, and operational excellence across the commercial workspaces. This is a varied role where no two days are the same. You’ll be the first line of response via the Service Desk, support Estate Managers in the delivery of safe and inclusive environments and be a visible presence across the spaces you manage. Your work will support the commitment to providing safe, efficient, and sustainable environments that enable our colleagues, contractors, and customers to get the best out of their day. Key responsibilities: Team Collaboration: Support the wider Commercial Estate Team, contributing to a positive and productive working culture Commercial Space Management: Build strong relationships with tenants (e.g. cafés, food banks, small businesses), ensure service level compliance, and manage service charge expenditure Contractor & Service Oversight: Coordinate maintenance, servicing, and compliance works; manage contracts for soft services including cleaning, catering, stationery, and security Health & Safety: Support H&S inspections and ensure all commercial spaces meet compliance and legislative standards Communication & Relationship Management: Liaise effectively with a wide range of stakeholders, including contractors, landlords, suppliers, tenants, and external workspace hosts Service Desk & Systems: Manage and monitor requests using the Service Now platform, ensuring tasks are completed within agreed service levels Space Utilisation: Provide monthly utilisation data and suggest areas for space efficiency and improvement Financial Management: Raise purchase orders via Concur, track expenditure, and contribute to budget control and cost-efficiency Customer Experience: Act as a ‘social connector’ in the workplace, offering technical knowledge and support to enhance stakeholder experience Emergency Planning: Serve as a trained First Aider and Building Warden.
