Due to our clients continued growth and ongoing success, we are looking for a proactive and detail-oriented Facilities and Maintenance Admin Assistant to join our team at our Head Office in Plymouth.
About the Role
As a key member of our Facilities team, you’ll play a vital role in ensuring our offices and operations run smoothly. You’ll manage maintenance workflows, maintain accurate records, and coordinate with contractors and internal teams to ensure all tasks are completed efficiently and on time.
Your responsibilities will include:
* Accurately inputting data into internal systems (e.g. compliance certificates, quotes, invoices)
* Logging and tracking maintenance jobs using our internal platform
* Communicating with stores and contractors to coordinate timely work completion
* Verifying contractor job lists and ensuring all tasks are finalised
* Troubleshooting issues and finding effective solutions for all stakeholders
* Maintaining strong working relationships with internal teams and external partners
* Supporting the preparation of monthly reports and general administrative duties
About You
Skills and Experience:
* Strong attention to detail and excellent verbal and written communication skills
* Highly organised with the ability to prioritise and meet deadlines
* Confident working both independently and as part of a team
* Proficient in Microsoft Excel and general IT systems
* Previous experience or knowledge in Facilities & Maintenance is a plus, but not essential
