The role
You will be part of team serving the majority of site, over 250 people, with administrative activities, with a primary focus in the business and commercial areas.
Responsibilities:
1. Independently, plans, implements and coordinates the administrative duties to ensure the efficient running of the department; including. Organizing itineraries and booking travel for staff. Co-ordination of key customer visits and meetings involving Lubrizol staff from other sites across the globe. Using SAP to raise purchase orders and process department invoices and make direct purchasing transactions using third party websites. Raising internal work order requests and capital projects on SAP. Support onboarding and coordinating induction training of new starters. Maintaining the holiday calendar.
2. Play a key role in organizing and maintaining the health & safety and quality management systems. Maintaining standard operating procedures; sending out notifications and chasing down outstanding actions. Arranging training events and updating training records Updating records in the calibration and maintenance systems. Archiving records, reports and certificates.
3. Disseminating departmental communication via email, publishing documents on SharePoint and updating noticeboards.
4. Give training and guidance on Lubrizol systems and procedures to others, as required.
5. You’re empowered to make suggestions and implement continual process improvements.
6. Network with a team of administrators across the site and provide each other with back up as required.
7. Participate in and present ideas and updates at work group and department meetings.
8. Will have the opportunity to lead projects and implement process improvements.
9. Relevant experience in an Administrative role in a modern office environment.
10. Must be able to work independently, plan, implement and coordinate the desired course of action.
11. Ability to acquire an in-depth knowledge of Lubrizol policies, procedures and an expertise in systems such as SAP.
12. Extensive knowledge of job related software e.g. MS Office, TEAMs, SharePoint, SAP etc..
13. Good understanding of Health, Safety and Quality Systems in work environment.
Skills and Experience
14. Relevant experience in an Administrative role in a modern office environment.
15. Strong interpersonal and communication skills, comfortable interacting with all levels of personnel as well as corporate support functions, and third-party vendors.
16. Excellent organisation and time keeping skills.
17. Must be able to work independently, plan, implement and coordinate the desired course of action.
18. Ability to acquire an in-depth knowledge of Lubrizol policies, procedures and an expertise in systems such as SAP.
19. Extensive knowledge of job related software e.g. MS Office, TEAMs, SharePoint, SAP etc..
20. Good understanding of Health, Safety and Quality Systems in work environment.
21. Demonstrate effective written and verbal communication skills (including phone skills).
