We are seeking a highly organised and proactive Administration Assistant to join our Borehamwood offices to support our team with a wide range of client, compliance, and operational tasks. This role is essential in ensuring smooth day-to-day operations, maintaining accurate records, and delivering a high standard of administrative support across the business.
Your duties will include, but are not limited to:
Assist with onboarding new clients, including preparing and issuing documentation
Support the preparation and distribution of client communications and correspondence
Draft standard letters and documents as required
Assist with billing processes and the issuing of invoices
Support internal teams with general administrative tasks
Assist with periodic reviews and updates of client information
Ensure documentation is accurate, complete, and filed appropriately
Scan, file, and index documents in line with company procedures
Provide general office support, including maintaining a tidy and organised environment
Provide reception and phone support where required
Liaise with external organisations and third parties as required
Handle incoming and outgoing correspondence in a timely and professional manner
Work closely with internal teams to ensure tasks are completed efficiently
Collaborate across departments to support wider business operations
About you
You will have a keen eye for detail, teamed with the ability to spot any inaccuracies or duplications and provide resolutions. Efficiency and accuracy are key, as well as exceptional interpersonal skills, effective communication, and the ability to work to tight deadlines.
You will be confident in communicating with senior members of staff and not be afraid to ask questions to assist in your delivery of the role. You will also have/be:
* Accurate keyboard inputting skills, both written and numerical
* Competent using Microsoft Office suite, including Excel and PowerPoint
* Outstanding time management skills and ability to prioritise work
* Excellent work ethics and eagerness to learn
* Exceptional interpersonal skills and ability to communicate with people at different levels
* Great attention to detail and problem-solving skills
* Strong organisational skills with the ability to multi-task
* Have an organised approach to your work and ideally have experience in working to strict deadlines
* Be comfortable in administering repetitive tasks on some occasions, although we will make every effort to vary your workload
