Job Summary
We are seeking a highly organised and proactive Personal Assistant / Administrative Assistant to provide comprehensive administrative and organisational support to senior management.
The successful candidate will play a key role in ensuring the smooth day-to-day running of the office, managing schedules, coordinating communications, and supporting wider business operations.
This role requires excellent attention to detail, strong communication skills, and the ability to prioritise tasks effectively within a fast-paced working environment.
Key Responsibilities
Personal Assistant Duties
* Provide full administrative support to Directors and Senior Managers
* Manage diaries, appointments, and meeting schedules
* Organise travel arrangements, accommodation, and itineraries
* Prepare meeting agendas, take minutes, and follow up on action points
* Screen calls and emails, responding where appropriate
* Handle confidential information with discretion and professionalism
Administrative Duties
* Maintain organised filing systems (digital and physical)
* Prepare correspondence, reports, and presentations
* Raise purchase orders and process invoices where required to support our Senior Administrator
* Maintain office supplies and liaise with suppliers
* Ensure company records and databases are kept up to date
* Manage the company training matrix, ensuring all staff certifications remain compliant and up to date, and coordinate the booking of required training courses.
* Manage and complete company PQQs (Pre-Qualification Questionnaires) and associated documentation for client submissions
* Maintain and manage the equipment calibration register, ensuring all I-HV equipment is calibrated and compliant within required timeframes
Skills & Experience
Essential
* Proven experience in a PA and administrative role
* Excellent organisational and time management skills
* Strong written and verbal communication skills
* Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
* Ability to multitask and prioritise workload effectively
* High level of discretion and confidentiality
Desirable
* Experience working within construction, engineering, or technical environments
* Experience with project documentation, compliance, or financial administration
