Job Title: Administrator / Secretary

Location: Anchor House, Ringwood Road, Totton, SO40 8DX

Hours: 30 hours per week, Monday, Tuesday, Thursday & Friday 9.00am – 5.00pm

Trust Location: Hampshire & Isle of Wight Healthcare NHS FT

Role type: Temporary for 3 months with possibility of extension

Role details:

To provide a comprehensive administration and secretarial service to the clinical team.

The post holder will be responsible for the organisation of their own workload and delegated decisions/actions, as deemed appropriate by the Administrative Manager, Team Leader or Team Manager. The needs of the service user will be the utmost priority. The principle of high-quality customer care is at the heart of this role.

Duties to include but not limited to:

· Receive incoming telephone calls, and recorded messages to the service and to take messages, acting where appropriate and within level of responsibility, including making calls to outside agencies.

· Type all correspondence using both copy typing and audio, including forms, rotas, assessments, GP letters, and reports as generated by the team.

· Set up office systems and procedures to ensure that all documents can be retrieved easily.

· Collate health care records, register new referrals and input any other relevant information on the relevant IT system.

· Book appointments on to the relevant IT system.

· Input data on to the relevant systems and take responsibility for the quality of the data, reporting to data custodian any arising issues around quality.

· Organise meetings and support diary management for the team.

· Prepare agendas and take minutes of meetings as required.

· Produce activity statistics as required.

· Carry out photocopying and filing as required.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

You’ll learn the following whilst working at the trust:

1. An in depth understanding of the roles and responsibilities involved in working within the NHS

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You’ll have the following skills/experience:

· Audio typing skills

· Excellent IT skills

· NHS experience (desirable)

· Good communication and organisational skills

· Excellent attention to detail and accuracy
