Position Overview
IO-CO is seeking a motivated, energetic, and highly organised Executive Operations & Finance Manager to join on a full-time basis.
Based at our Ascot offices, with some flexibility for remote work, this role provides vital operational and administrative support across IO-CO and its spin-out businesses based in the UK and Jersey. You'll work closely with the founders to manage a variety of corporate, accounting, and operational tasks, ensuring the smooth day-to-day running of the businesses.
We're looking for someone who is detail-oriented, computer-literate, and comfortable using Adobe Acrobat and Microsoft Office applications. A friendly, confident, and positive attitude, together with a willingness to learn, is essential.
Candidates should have 3 – 5 years' experience in an Executive Assistant, Office Manager, or accounting / finance support role.
Key Responsibilities
 * Support corporate filings and coordinate the collection and submission of compliance documentation from shareholders, investors, and company directors.
 * Liaise with accountants regarding new share issues, Companies House filings, and other statutory requirements.
 * Oversee banking administration, including monitoring balances, initiating payments, and maintaining accurate records.
 * Manage payroll processing, employee expenses, and timesheet collation for invoicing and reporting.
 * Coordinate project purchasing and supplier management, including account creation, purchase order generation, invoice processing, and payments.
 * Handle general office administration, such as rent, utilities, software subscriptions, and renewals.
 * Ensure consistent and accurate bookkeeping and reconciliations across IO-CO and spin-out ventures using Free Agent and Xero accounting software (prior experience with either would be beneficial but not required).
 * Work with accountants to compile financial data and documentation for quarterly VAT returns and year-end accounts.
 * Support executive scheduling, meeting preparation, and internal communications where required.
 * Assist with office organisation, and day-to-day operational coordination across the Ascot office and Jersey locations.
About You
 * 3 – 5 years of experience in an Executive Assistant, Office Manager, or accounting / finance support role, ideally within a small business or multi-entity environment.
 * Strong organisational and time-management skills.
 * Excellent written and verbal communication.
 * High level of proficiency with Office 365, and familiarity with Adobe Creative Cloud is a plus.
 * Comfortable managing multiple priorities and maintaining accuracy under pressure.
 * A proactive problem-solver who enjoys learning and growing in a dynamic, entrepreneurial environment.
 * Excited to work in a small, agile, and creative team across a range of emerging technology projects and ventures, focused on making tangible improvements to people's long-term health and well-being.
Job Type: Full-time
Pay: £40,000.00-£60,000.00 per year
