This is a fantastic opportunity for an experienced Personal Assistant to join a supportive, forward-thinking team within a highly regarded global organisation.
Project Coordination
Act as the go-to point for client project support – distributing and coordinating tasks across the team.
Set up processes for new client matters in partnership with Partners, Fee Earners, and client contacts.
Support the preparation of pitches, presentations, and events to help the firm win and retain business.
Identify opportunities for smarter, more efficient ways of working to enhance client delivery.
Client Relationship Management
Be at the heart of client care – ensuring all correspondence is directed appropriately and responded to promptly.
Maintain accurate client information in the CRM (InterAction) and champion data integrity.
Communicate confidently with clients on behalf of Partners and Fee Earners, arranging meetings and managing queries.
Support compliance by ensuring client terms of business are up to date and followed through.
Communication & Team Support
Act as a key liaison between Partners, Fee Earners, and Business Resource teams.
Handle incoming queries with professionalism and discretion.
Collaborate with the Client Service Lead to ensure smooth coverage and consistent service across the team.
Financial Administration
Assist with time recording, billing, invoicing, and expenses – ensuring accuracy and timeliness.
Liaise with Finance to support billing cycles, credit control, and reporting.
Use firm systems (including Chrome and 3E) to process and track financial data.
Administrative Excellence
Oversee task distribution and progress tracking within the Client Services team.
Manage diaries, travel bookings, and meeting logistics for Partners and Fee Earners.
Coordinate rooms, technology, and catering for internal and client meetings.
Maintain organised filing systems, manage client files, and support both short- and long-term administrative goals.
What We're Looking For
Proven experience as a PA, EA, or Client Services Assistant within a professional services or legal environment.
Exceptional organisation and multitasking skills, with a sharp eye for detail.
Confident, professional communication skills – both written and verbal.
Tech-savvy, with proficiency in CRM systems (InterAction), Outlook, and 3E.
A proactive, adaptable, and client-focused mindset – someone who thrives in a fast-paced, team-oriented environment.
