Job Overview
We are looking for an Administration Worker for our busy office based in Hamilton.
Reporting to the Manager, you will work alongside our Board of Trustees and wider staff team to ensure that we have all our administration up to date.
You will be dealing with new members signing up to our charity, ensuring they receive our welcome packs, then doing follow up calls to ensure they are happy, in addition to this you will be expected to contact our existing members to do check in well-being calls as well as seeing if they need additional support from family support or activity teams.
You will coordinate all volunteering work, ensure we have sufficient support in place to deliver our work, as well as providing vital support in the delivery of our services and oversee our Social Media interactions.
Main Duties & Responsibilities
Key Tasks
* Oversee emails and social media, source and post info to support families, supervise those asking to join pages and make sure they are members.
* Manage database, email non-members requesting to join, email those who have completed membership form but not paid, check those due to renew membership and send reminder emails to renew, remove those who didn’t renew from FB, database and Textlocal, email thanking those who did renew, check database for new members and add to spreadsheet.
* Deal with enquiries.
* Book halls for activities.
* Monthly breakdown of figures for accountant.
* Maintain and complete agreed administration systems and contribute to the development of such.
* Ensure the recording and reporting of statistical information, monitoring and evaluation procedures are all adhered to.
* Ensure that as an individual, you adhere to Health & Safety Policies and Procedures identifying and reporting concerns where they arise.
* Take an active professional role in your own supervision, annual appraisal, and agreed training.
* Undertake other duties as required to ensure efficient operation of the charity.
