Purpose of the role:
Your role as a Recruitment Administrator is to support Recruitment Coordinators with administrative tasks throughout the recruitment lifecycle. This includes posting and screening candidates via our ATS (Blue Octopus), arranging interviews, and submitting referencing packs to our Compliance Team. You will support candidate attraction and conversion for hourly paid roles at our London Heathrow and London City sites. Reporting to the Shared Services and Recruitment Manager, you will assist with hiring events and inductions. Some travel to other sites/hiring events may be involved.
Sitting within our supportive, fast-paced HR Recruitment Team, your role is crucial for the smooth operation of our ongoing recruitment processes.
Stakeholders:
Internal: Operations and Functional Managers, Recruitment Coordinators, HR Team, Compliance/Referencing Team
External: Service providers, Recruitment agencies, Candidates, Job Centres, Job Boards, external stakeholders
Key responsibilities:
* Advertising and maintaining vacancies on various job boards via our ATS.
* Collating management information (MI) weekly and monthly, reporting findings.
* Supporting first-line screening of CVs and providing feedback to Recruitment Coordinators.
* Arranging interviews, preparing schedules, and inviting candidates.
* Conducting initial phone screenings as needed.
* Preparing recruitment packs for the Compliance and Referencing Team.
* Supporting with interview feedback collection.
* Gathering and chasing employment documents (Right to Work, HMRC Forms, criminal checks).
* Providing administrative support to the wider recruitment team as necessary.

Qualifications and experience:
* Experience in a fast-paced role.
* Experience using job boards.
* Experience working with external agencies is desirable but not essential.
* Resilience and ability to work in a dynamic environment.
* Experience with applicant tracking systems (ATS).
* Experience in the aviation sector is a plus but not required.
