The Opportunity
This is a truly exciting opportunity to take on a crucial role within our team, working on high-impact projects all over the world. We are seeking a highly motivated Logistics Co-ordinator with a strong commercial background and logistics expertise. You will be based at our Aberdeen office, working at least four days a week on-site, with one day working from home in a hybrid model, supporting our global operations. Who Are We Looking For?
Given the dynamic and global nature of our work, we need a Logistics Co-ordinator who is a master of organisation and proactive to the core. You'll need to be technically knowledgeable about logistics and customs and genuinely enjoy the challenge of learning about new routes and activities as we grow.
You should have excellent Incoterms knowledge and dangerous goods awareness.

Your Key Accountabilities
Reporting directly to the Operations Manager, your role will be multi-faceted and vital to our operations:
Shipping & Freight:
* You will be the primary point of contact for all domestic and international shipments of our equipment.
* You'll obtain competitive quotes and ensure seamless collections and deliveries by liaising with freight forwarders and couriers.
* A key part of the role is preparing all necessary documentation, including Commercial Invoices (CIPLs) and customs forms.
* You'll meticulously track and monitor all shipments and provide timely updates to our internal teams.
* You'll proactively handle and resolve any logistical challenges that arise during transit.
* Keeping our asset logs updated with all movements will be a core responsibility.
Goods Management & Purchasing:
* You will be responsible for receiving and inspecting all incoming equipment, documenting its condition in detail.
* You'll ensure all outbound shipments are perfectly prepared and packed according to project requirements.
* Managing our inventory of shipping consumables and spares will be crucial for maintaining operational readiness.
* You'll also provide essential support with procurement and purchasing as needed.
Personnel & Travel:
* You will be responsible for co-ordinating and tracking all visa, medical, and vaccination requirements for our team and customers to ensure smooth project delivery.
* Booking and managing all employee travel will fall under your remit.
Documentation & Compliance:
* You will create and maintain accurate Commercial Invoices and Packing Lists for every shipment.
* Manage HMRC records where required
* Ensuring full compliance with international shipping regulations and client-specific requirements is paramount.
* You will maintain a robust digital and physical archive of all shipping and inspection documents for audit purposes.
* Maintaining good knowledge and thorough understanding of HMRC regulations, customs regimes, incoterms and customs commodity codes
* Finally, you will generate internal reports on logistics performance, providing key insights on turnaround times and costs per shipment.
What You'll Need to Succeed
Experience:
A minimum of 5 years' experience in logistics or supply chain management is required, preferably in air, sea, and road.
Skills:
You must have a strong grasp of international logistics, customs, travel, and inventory management. Proficiency in Microsoft Office is essential, and familiarity with Google Docs and Sheets would be a bonus. We're looking for excellent communication, negotiation, and problem-solving skills.
Aptitude:
A genuine enthusiasm for learning and a willingness to stay current on international legislation and compliance around logistics, customs, and immigration topics.
