Job Description CAPSIL is UK-wide specialising in intensive driving courses and has supported over 60,000 learners since 2016. By fast-tracking theory and practical tests, we provide a quick and convenient path to driving, ensuring lessons are completed just before a student’s scheduled test date. As the largest intensive driving course agent in the UK, CAPSIL offers a unique platform connecting learners with DVSA-approved Approved Driving Instructors (ADIs), transforming the way driving is taught and learned. CAPSIL is currently expanding into a multi-brand group, incorporating PassMeFast and ADI Network, and is investing significantly in marketing, technology, and process digitisation to enhance operations and elevate the learner experience. Position Overview: We are seeking a highly organised and detail-oriented Office Administrator to support the day-to-day administrative and operational functions of our organisation. This role provides essential support across bookkeeping, HR, and general office administration. The ideal candidate will be proactive, dependable, and capable of juggling multiple tasks in a dynamic environment. Job Requirements Organisational skills – ability to manage files, records, and scheduling. Communication skills – strong written and verbal communication. Time management – prioritise tasks and meet deadlines. Problem-solving skills – ability to handle unexpected issues. Customer service skills – for interacting with client, suppliers and staff. Prior experience - proven experience in a similar role Job Responsibilities Bookkeeping & Financial Support •Assist with basic bookkeeping tasks using Quickbooks •Process invoices, expense reports, and payment checks for instructors and vendors. •Support monthly budget tracking and assist with month-end reconciliations. •Maintain accurate financial records and filing systems. HR Support •Assist with onboarding and offboarding •Maintain employee records •Draft HR-related letters and documentation, including offer letters, employment contracts, pay rise and promotion notices, and leaver correspondence. •Help coordinate staff communications, trainings, and documentation compliance. •Support recruitment processes (e.g., scheduling interviews, posting job listings). Office Administration •Serve as the first point of contact for general office inquiries. •Manage office supplies, equipment, and relationships. •Coordinate meeting logistics, room bookings, and office events and socials. •Assist with document preparation, filing, and data entry tasks. •Provide administrative support to various departments as needed.
