Purpose of the role:
The Recruitment Administrator supports Recruitment Coordinators with administrative tasks throughout the recruitment process. Responsibilities include posting and screening candidates via our ATS (Blue Octopus), arranging interviews, and submitting referencing packs to our Compliance Team. The role involves supporting candidate attraction and conversion for hourly roles at our London Heathrow and London City sites, with potential travel to other sites or events. Reporting to the Shared Services and Recruitment Manager, you will assist with hiring events and inductions, ensuring smooth recruitment operations within our fast-paced HR team.
Stakeholders:
Internal: Operations and Functional Managers, Recruitment Coordinators, HR Team, Compliance/Referencing Team
External: Service providers, Recruitment agencies, Candidates, Job Centres, Job Boards, other stakeholders
Key responsibilities:
* Advertising and maintaining vacancies on various job boards via ATS
* Collating management information (MI) weekly and monthly reports
* Supporting first-line CV screening and providing feedback to Recruitment Coordinators
* Arranging interviews and preparing schedules
* Conducting initial phone screenings as needed
* Preparing and sending recruitment packs to the Compliance and Referencing Team
* Supporting with interview feedback collection
* Gathering and following up on employment documents (Right to Work, HMRC forms, criminal checks)
* Providing general administrative support to the recruitment team

Qualifications and experience:
* Experience in a fast-paced administrative or recruitment role
* Experience using job boards and ATS systems
* Experience working with external agencies is desirable but not essential
* Resilience and ability to work under pressure
* Experience in the aviation sector is a plus but not required
