Overview
Administration Specialist in the Performance & Informatics (P&I) department responsible for providing specialised, comprehensive, and confidential administrative support and acting as a source of advice and guidance within the department and across the Trust.
Key Responsibilities
* Deliver excellent customer service and effectively resolve queries received.
* Act as a senior point of contact within the Referrals/e-Referrals Team to ensure enquiries are managed and resolved promptly, with appropriate records maintained.
* Maintain up-to-date, orderly documentation and ensure availability for decision making; chair or attend team meetings as required.
* Conduct regular audits of the Referrals/e-Referrals Team, analysing findings, reporting to the team and wider Trust, and supporting the development and monitoring of action plans for continuous improvement.
* Undertake project work, including gathering information, collating and reporting data, using Trust IT systems such as Revenue Cycle, PowerChart, E-Referral, Insite and Openscape.
* Develop, implement and maintain efficient office management systems and procedures to optimise service standards.
* Manage time effectively, including cover and leave arrangements, and ensure timely communication with relevant personnel while raising and completing action points.
* Book new and follow‑up appointments in line with Patient Access policy, using Direct and Partial booking systems within waiting time targets.
* Support and train administration staff, provide cross‑cover and day‑to‑day supervision, carrying out audits to maintain high standards of practice.
* Obtain and record confidential information from patients or relatives in the hospital’s computerised system.
* Assist with Personal Development Reviews and conduct interviews for band two and band three roles.
* Exercise independent judgement and initiative to resolve problems, including telephone complaints and errors with administration staff, escalating to appropriate persons when necessary.
* Maintain and monitor Trust-wide standards to improve quality and total care for all service users.
* Comply with risk management principles, health and safety legislation, and act immediately on hazards or unsafe practices with staff.
