About the Role
This is an excellent opportunity to join the Occupational Health and Wellbeing Team within Hampshire and Isle of Wight Constabulary a dedicated, multidisciplinary team supporting the health, safety, and resilience of officers and staff across the organisation.
As an Occupational Health Administrator, you will provide essential administrative and organisational support to ensure the smooth delivery of clinical and wellbeing services. You will handle sensitive information with the highest degree of confidentiality and play a key role in coordinating communication between staff, managers, and clinical professionals.
Key Responsibilities:

Manage the Occupational Health and Wellbeing shared mailboxes, responding to queries and directing communications appropriately.

Provide general administrative support arranging meetings, diary management, taking minutes, and coordinating Clinical appointments.

Maintain accurate electronic and physical records in line with medical and clinical confidentiality standards.
:
Process and allocate confidential referrals and enquiries.
:
Support ordering of supplies, stationery, and other administrative resources.
:
Contribute to a positive, efficient, and supportive team environment.

Hybrid Working:

The Occupational Health office operates 08:00 to 16:00, Monday to Friday.
:
This role offers aspects of hybrid working, with an expectation to attend the office at least two days per week on a rota basis.
:
The rota is reviewed regularly in line with service needs, and additional office attendance may be required to cover staff absence or annual leave.
:
Hybrid working arrangements are designed to balance team collaboration, confidentiality requirements, and service delivery.
Essential Criteria

Educated to QCF Level 2 (including Maths and English) or equivalent experience.
:
Proven experience in administration, ideally within a health, wellbeing, or other confidential environments.
:
Proficient in the use of Microsoft Office applications (Word, Excel, Outlook).
:
Strong organisational skills, accuracy, and attention to detail.
:
Ability to handle sensitive information and maintain confidentiality at all times.
:
Excellent interpersonal, communication skills with awareness of personal and professional boundaries to the complex nature the environment.
Desirable Criteria:

Previous experience within an Occupational Health, HR, or clinical administrative setting.

Familiarity with confidential record systems or secure database management.

Understanding of wellbeing, health promotion, or workforce resilience principles.
