As a Reception Administrator you will be the first point of contact for our company, welcoming guests and coordinating front‑desk activities, including distributing correspondence and redirecting phone calls. This role requires a pleasant personality, the ability to handle emergencies, multitask, and work under pressure. You may be required to work in shifts, so flexibility is a must.

Responsibilities
* Answer, screen and forward incoming phone calls, maintaining basic phone etiquette.
* Serve visitors by greeting, welcoming, directing and announcing them appropriately.
* Update calendars and schedules, including booking meeting rooms.
* Assist with mobile phone allocation for starters and leavers.
* Keep the Lanes Directory and asset registry up to date.
* Maintain the Training Matrix.
* Assist the recruitment team with administrative duties and ad‑hoc projects.
* Sort and distribute post.
* Provide administrative duties to directors, managers and employees as requested.
* Maintain security by following correct procedures: monitor the logbook, issue visitor badges, represent the business with a positive attitude and professional appearance, keep basic office supplies stocked.
* Perform other clerical duties such as filing, photocopying, collating, etc.
* Conduct housekeeping and health & safety checks:
* • All TVs are tuned into Sky News.
* • TV screens above regional desks are tuned to the correct regional dashboard.
* • All coats / jackets are removed from backs of chairs.
* • All personal phones are removed from desks.
* • Meeting rooms are set for use (pens & adapters available, chairs tucked in, etc.).
* • Report building repairs to the PA or Technical Director/Stores Controller/Facilities Coordinator.
* • Ensure all staff & visitors wear appropriate badges.
* • Liaise with Health, Safety & Wellbeing team to meet regulations.
* • Report all accidents and hazards.
* • Avoid unsafe practices at work.
* • Be aware of all Lanes Group policies.
* Additional duties: contest PCNs to relevant councils, assist in configuration of new starter phones.
