As an Executive Assistant, you’ll play a key role in delivering our ambitious growth plans and ensuring our customers receive best-in-class security solutions. In this role, you'll work closely with the CEO and CFO, supporting high-impact initiatives, coordinating global operations, and engaging with senior leaders. Key Responsibilities Manage complex and ever-changing executive calendars, ensuring optimal scheduling across multiple global time zones. Coordinate international travel arrangements, including flights, visas, accommodations, and detailed itineraries for the CEO and CFO. Facilitate seamless communication across regions and time zones, ensuring timely information flow between global teams. Prepare for and attend high-level meetings, take accurate minutes, and ensure prompt distribution and follow-up on action items. Liaise effectively with board members, executives, and staff at all levels, adapting communication style to suit the audience. Maintain strict confidentiality when handling sensitive and strategic information. Support the CEO and CFO in driving strategic projects, including tracking progress, collating inputs, and ensuring deadlines are met. Coordinate and organise executive team meetings, ensuring all participants are aligned and well-prepared. Submit monthly expenses on behalf of the CEO and CFO with attention to accuracy and timeliness. Be willing and able to travel across operational territories to provide in-person support when needed. Skills, Knowledge & Expertise Experience Proven Executive Support Background - Minimum of 5–7 years’ experience supporting C-level executives (preferably a CEO and/or CFO) in a fast-paced, global environment. Calendar and Travel Management - Demonstrated experience managing complex calendars and coordinating international travel, including familiarity with global visa requirements, multi-leg itineraries, and travel risk management. Project Coordination - Experience supporting or managing strategic projects with multiple stakeholders, ensuring timelines are tracked and deliverables met. Board and Stakeholder Engagement - Prior experience engaging with board members and senior stakeholders with professionalism and discretion. Multinational Environment - Experience working across multiple time zones and cultures, ideally in a multinational organisation. Skills Exceptional Organisational Skills - Ability to prioritise tasks, manage competing deadlines, and maintain accuracy under pressure. Advanced Communication Abilities - Excellent written and verbal communication skills, with the ability to adapt tone and messaging to suit diverse audiences, from executives to frontline teams. Meeting and Minute-Taking Proficiency - Skilled in preparing agendas, capturing accurate meeting minutes, and managing follow-up actions with minimal oversight. Tech-Savvy - High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), video conferencing platforms (e.g., Zoom, Microsoft Teams), and travel/expense tools (e.g., Concur, SAP, TripActions). Discretion and Confidentiality - Proven ability to handle sensitive and confidential information with integrity and discretion. Proactive Problem Solver - Demonstrates initiative, anticipates needs, and acts with sound judgment in ambiguous or time-sensitive situations. Attention to Detail - Meticulous in managing logistics, communications, and document handling.
