Job Purpose
The Clinical Administrator will work as part of the Clinical Administration Team to provide comprehensive administrative support to clinicians within the ADHD and ASD service. The post holder will play a key role in ensuring that medical reports, consultation paperwork, and clinical correspondence are accurate, timely, and well-organised. They will contribute to the smooth running of the service by supporting clinicians and the clinical management team, coordinating essential documentation, and ensuring that clinical bookings are optimised.
This role will be developed into a growing position as the service expands, offering opportunities to support wider aspects of service delivery.
Key Duties and Responsibilities
Clinical Administration Support
* Assist clinicians with the preparation, formatting, and checking of medical reports to ensure accuracy and compliance with service standards.
* Prepare and issue clinical documentation, including travel letters, shared care agreements, and consultation packs.
* Ensure all paperwork relating to assessments, follow-ups, and care planning is ready in advance of clinical consultations.
* Support clinicians in managing actions arising from clinical meetings, ensuring follow-up tasks are completed within agreed timeframes.
Service Coordination
* Oversee and coordinate acuity bookings, ensuring they are optimised to support efficient use of clinician time and service capacity.
* Track and monitor the flow of patient referrals, assessments, and follow-up consultations, escalating delays or issues to the management team as appropriate.
* Maintain accurate patient records and ensure information is securely stored in line with data protection requirements.
Team and Management Support
* Provide administrative assistance to the clinical management team, including meeting coordination, preparing agendas, and recording meeting minutes.
* Support the training programmes delivered by ADHD Direct through the provision of administrative tasks, including scheduling, documentation, and participant communication.
* Carry out administrative tasks as directed by the Clinical Lead, CEO, and Clinical Service Managers.
* Contribute to the organisation and circulation of clinical policies, service updates, and communications.
General Administration
* Support the collection, collation, and submission of service data for audits, performance reporting, and quality improvement initiatives.
* Assist in developing and maintaining administrative systems and processes to improve efficiency.
* Undertake other general administrative duties as required to support the delivery of a high-quality, responsive service.
Person Specification
Essential
* Previous administrative experience, preferably within a healthcare or clinical setting.
* Strong organisational and time management skills, with the ability to manage multiple priorities.
* Excellent attention to detail when handling clinical paperwork and sensitive information.
* Proficiency in IT systems (Microsoft Office, electronic health records, databases).
* Good written and verbal communication skills.
* Ability to work as part of a busy team and liaise effectively with clinicians, managers, and service users.
Desirable
* Experience in mental health, ADHD, ASD, or similar healthcare services, full training will be given
* Knowledge of medical terminology and clinical documentation.
* Familiarity with shared care agreements or NHS referral pathways.
