FTE: Full Time – Monday to Friday 8:30am to 4:30pm
Employment Status: Twelve Month - Fixed Term Contract
The Administration Assistant – Finance plays a vital role in supporting the effective and professional operation of the school and is often the first point of contact for students, families and visitors. This position contributes significantly to creating a welcoming, supportive and efficient office environment while providing accurate and timely financial and administrative support. Working collaboratively with the Leadership Team, office staff, teachers and the wider school community, the role supports the responsible stewardship of school resources and the smooth coordination of daily operations. The successful applicant will demonstrate strong financial capability, excellent organisational and interpersonal skills, and a commitment to providing informed, courteous service aligned with the mission, values and ethos of Catholic education. Applies knowledge and skills across a broad range of administrative and finance tasks in line with MACS guidelines, procedures and school policies.
Demonstrates strong organisational and time-management skills, with excellent attention to detail and the ability to prioritise competing tasks.

Maintains a friendly, welcoming and approachable manner as a key point of contact within the school community.

Maintains accurate student and personnel records in accordance with compliance requirements.
Supports office coordination and general administrative responsibilities.
Processes accounts payable and receivable functions accurately and efficiently.
Prepares payroll documentation and onboarding tasks in collaboration with the Principal.
Provides front reception support as required.
Administers First Aid care and support to students when required.
Supporting facilities management and contractor relationships.
Ensuring safe, efficient and well-maintained learning environments.

Qualifications and Requirements
Duties for this position require a high skill level which assumes and requires relevant knowledge and training equivalent to; Completion of Certificate IV in Business Administration, and/or extensive relevant work experience and/or education training or a combination of both
Bookkeeping and/or payroll experience
Knowledge and experience in using Microsoft Office including Word, Excel, Publisher and Outlook at an advanced level. Experience in the use of Google Suite; Gmail, calendar, forms, docs and sheets
Experience working with database and/or web software and cloud-based services at an advanced level
Experience within a MACS ICON school is preferred but not essential
Willingness to work in partnership with MACS Business Finance Partner and Shared Services Centre
Working with Children Check Card (Employment)
National Police History Check
First Aid Certificate (Provide First Aid, CPR, Anaphylaxis and Asthma)
Commitment to ongoing professional development
Continue to develop ICT skills as technologies evolve
Success Criteria1. Previous experience within a MACS environment is preferred, but not essential: Demonstrated understanding of MACS policies, procedures, and operational expectations, with experience supporting school leadership and contributing to a student-centred culture.2. Knowledge of school-based systems: Strong working knowledge of school administrative platforms, including enrolment systems, student information databases, attendance processes, and reporting tools, with the ability to maintain accurate and confidential records.3. Stakeholder management skills: Proven ability to build positive relationships with staff, students, families, and external partners, demonstrating clear communication, professionalism, and a commitment to high-quality service4. School Finance and Payroll: Proven ability to undertake school finance tasks, such as, banking, receipting, accounts receivable (debtors) and accounts payable (creditors) prepare staff payroll and maintenance of leave and personnel records5. Proficiency within a Microsoft environment: High level of competence using Microsoft Office applications such as Outlook, Word, Excel, and Google to manage documentation, data, and collaborative workflows.6.
