Boyatt Wood Surgery and Eastleigh Medical Practice are looking for a keen and committed operations and compliance officer, with excellent communication skills and knowledge to join our general practice team.

Main duties of the job

The role is to help manage the non-clinical side ofthe business enabling the practice to meet its agreed aims and objectiveswithin a profitable, efficient, safe, and effective working environment.

Areas which come under the operation and complianceofficer remit are listed below.

Building and maintenance

Staff and HR including trainingand assistance with staffing

Health and Safety

Compliance - CQC

Technical infrastructure eg ITand telephone systems

Internal and ExternalCommunication and PR

Complaints and SignificantEvents management

Updating Policies and Protocols

Confidentiality/InformationGovernance

Assistance with ad hocnon-clinical issues, processes, and responses

Boyatt Wood Surgery and Eastleigh Medical Practice in Eastleigh, Hampshire have a combined list of 23000 patients. Eastleigh Medical Practice is a busy, town centre practice in Eastleigh. Boyatt Wood Surgery is a partner practice about a mile from central Eastleigh. Eastleigh Medical Practice currently has over 14750 registered patients and Boyatt Wood has 8500 patients.

Job responsibilities

The Operation and Compliance Officer will workapproximately 30 hours a week over 4 days. Their role will be to supportthe practice manager with the following:

Building

Building maintenanceorganising any building repairs and maintenance, decorating projects (followingdiscussion with manager) check clinical rooms weekly and provide quarterlyaudits.

Claim appropriate reimbursementsEg rates, water etc. and make sure the surgery is always kept tidy andclean.

Fire Safety weekly fire alarmchecks and monthly emergency lighting checks.

Legionella Testing arrangingregular testing of water as required.

Waste management liaise withwaste management companies as required and provide waste audit 6 monthly.

Health and Safety

Carry out risk assessments whenappropriate.

Fire safety, carry out firealarm checks and fire drills when appropriate. Make sure fire safety policy iskept up to date and adhered to. All annual safety checks in place.

Keep health and safety policy upto date. Provide Health and safety audit annually.

COSH Risk Assessment, audit andTraining.

Organise PAT testing annually.

IT/Telephones

First point of call with any IT,software or telephone problems.

Liaising with IT support to fixany problems.

Resetting of staff passwords onIT systems and smartcards

Setting up of new staff onsystems

Staffing and HR

Maintain HR files for all staff.Manage/ update Teamnet as required monitoring it on a weekly basis.

Although not part of main job function, it may benecessary for the operations and compliance officer to provide emergency coverin the following back-office areas.

* Answering telephones
* Scanning of internal post
* Processing of repeat prescriptions
* Be available by phone to admin staff for adviceuntil 6.30 pm on your working day.
* Occasional Saturday working from 9-5pm may berequired.

Policies and Protocols

Help PM with policies andprotocols on First Practice Management.

Complaints, Significant Events and allMeetings

Collate and file all complaintsand significant events.

Ensure response to complaintsare sent within the appropriate time frame.

Ensure significant events aremanaged and dealt with by appropriate staff following discussion at meetings.

Organise and manage monthlymeetings Eg: D/N and palliative team meeting, Safeguarding meeting, Practicemeetings.

Confidentiality

Make sure that the practicestays compliant.

Carry out an annual audit.

Ad Hoc

This is not an exhaustive list.Other tasks may be added which play to the applicants personal strengths andassist the practice manager with their workload.


Person Specification


Qualifications

* Degree or equivalent
* Experience in working in primary care
* Experience in managing a team
* Experience in using Emis Web, Teamnet,
