We are currently seeking an Accounts Payable Assistant to join our Finance department on a permanent basis in Folkestone. As an Accounts Payable Assistant, you will play a crucial role in ensuring the smooth operation of our transaction finance function, while maintaining quality standards and compliance within a SOX (Sarbanes Oxley) environment.
This role will work require the successful candidate to work from our UK Corporate Office in Folkestone at least 2 days per week.
Responsibilities:
1. Prepare new vendor documents for approval to set up (forms W8 / W9)
2. Process supplier invoices for the GMG SAP entity
3. Investigate and resolve discrepancies in the 3-way match system
4. Distribute invoices for review and authorization
5. Manage supplier ledgers, ensuring timely reconciliation, on-time payments, and issue resolution
6. Liaise with suppliers, internal teams, and banking contacts
7. Prepare payment runs (multi-currency) for approval and upload onto banking platform
8. Perform daily and monthly multi-currency bank reconciliations
9. Handle IRS 1099 reporting
10. Ensure proper filing of invoices in accordance with company processes
11. Reconcile supplier statements and address queries
12. Maintain supporting evidence for SOX compliance audits
13. Support the achievement of monthly A/P working capital targets
14. Foster good relationships with employees in other departments and suppliers
15. Continuously enhance and update financial processes
16. Provide analysis as required
17. Review LOA (Letter of Authorization) limits quarterly and make on-demand changes/reviews
IT & Finance Continuous Improvement Project Support:
18. Proactively contribute to AP automation project
19. Assist with department continuous improvement projects
Requirements:
20. Previous experience in a similar AP assistant role
21. Knowledge of bookkeeping and bank reconciliations
22. Proficiency in SAP
23. Intermediate Excel skills
24. Strong organizational and communication skills
