HR COORDINATOR
Location: Head Office – Perth (potential Travel to South Queensferry)Category: Human ResourcesContract: Full time, Permanent, Monday – Friday, Hybrid (3 days on site) available after three months employmentReports to: HR Business Partner
BEAR Scotland is a leading provider of road maintenance and management services, proudly responsible for the upkeep and enhancement of the country’s vital trunk road network — including bridges and key infrastructure — across some of the most scenic and challenging terrain in the UK.
Since 2000 we have been involved in five generations of Transport Scotland Trunk Road Operating Company contracts covering various areas of Scotland and are presently responsible for approximately 60% of Scotland’s trunk road network. This includes the North West and South East Scottish Trunk Road Units.
We’re looking for a highly organised and detail-focused HR Coordinator to join our proactive HR team at BEAR Scotland. This role is central to ensuring smooth HR operations and excellent service to our employees. You’ll work closely with another HR Coordinator and provide strong administrative support to our HR Business Partners, helping us deliver a high-quality people service across the business.
This is a busy, fast-paced role where you’ll manage multiple priorities and queries, so we’re looking for someone who thrives on organisation and accuracy.
Key Responsibilities:
Onboarding
1. Manage the offer approval process and prepare new contract paperwork.
2. Complete pre-employment checks (e.g., references, right-to-work verification).
3. Coordinate induction schedules and ensure compliance with onboarding processes.
Absence Management
4. Record and monitor absence data accurately in HR systems.
5. Provide absence reports and escalate issues where required.
Employee Queries & Support
6. Respond to day-to-day HR queries promptly and professionally.
7. Support HR Business Partners with administrative tasks and documentation.
HR Processes & Compliance
8. Maintain accurate employee records and ensure compliance with policies and legislation.
9. Assist with HR reporting and data analysis.
10. Assisting with benefits administration and queries.
11. Provide administrative assistance across the employee lifecycle as required to support the wider team.
Skills & Experience
12. Proven experience in administration or coordination roles.
13. Strong organisational skills and ability to manage multiple priorities.
14. Excellent communication and interpersonal skills.
15. Proficiency in Microsoft Office and confidence with systems.
16. Ability to handle confidential information with discretion.
17. Attention to detail and a high level of accuracy.
18. Experience in HR administration – desirable
19. Knowledge of HR systems and reporting tools – desirable
