The ideal candidate will provide top-level assistance for high level executives on both a 1:1 and the senior team. You should be well-organized and be comfortable scheduling complex global meetings and schedules and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations for board reports, agendas and presentations.
Responsibilities
* Calendar management for executives with extensive meeting coordination, travel and global kick offs
* Research & book external venues for C+ suite
* Aid executives in preparing for meetings - collating and presenting reports, PowerPoint presentations and Excel charts and graphs
* Responding to emails and document requests on behalf of executives - knowing when to escalate
* Draft slides, meeting notes and documents for executives. Proofing all documentation and coordinating distribution globally
* Manage all expenses for Senior Executives and liaise with Internal stakeholders
* Manage the office facilities and meeting rooms, ensuring all 3rd parties support maintenance, IT equipment, stationery and stock
Qualifications
* Degree or equivalent work experience at a senior level
* Proficient in Microsoft Office suite - must be advanced Word, Excel, PowerPoint & Outlook
* Experience in managing multiple priorities, administrative coordination, and logistics
* Well-organized, detail-oriented, ability to multi-task with great follow-up skills
* Must be able to demonstrate a high level of confidentiality and be prepared to be very hands on
* Strong written and verbal communication skills with confidence and ease when supporting C+ level stakeholders
This is a senior EA role that requires an experienced and energized individual. You must be able to bend and flex around the business needs and demands of the role and have a positive and "can do" attitude. This position offers a great working culture and will require the successful incumbent to be in the office 3-4 days each week.
