Williams Lea seeks a Multi Services Assistant to join our team!

Purpose of role
The primary focus of the Multi Services Assistant is to provide the client with the administrative support they need to provide seamless legal services to their customers and help them maximise the amount of time they are able to spend on fee-earning tasks. The Multi Services Assistant will support the Lawyers in the Housing Department on non-judgemental administrative tasks to ensure all tasks are completed within agreed specified time frames.
The Multi Services Assistant will be responsible for completing defined legal administrative tasks, working within the client systems while adhering to all client processes, protocols and policies.
Key responsibilities
* Providing a defined administrative service, following standard operating procedures
* Deliver an exceptional electronic and hard copy file management service
* Work with the client’s document management system to create and edit documents
* Work with the practice management system to open, close, and add contacts and clients
* Work with the client’s relevant software packages
* Collect and complete any information required for billing or client charge back data
* Extensive computer and data related tasks
* Entering, maintaining, and updating details and relevant information on the client systems as required
* Accept requests from Fee Earners/PAs, notifying them of estimated completion time as appropriate and in line with service level agreement
* Raising queries and concerns with designated individuals, as required
* Maintain all filing and work areas in a tidy and orderly manner
Personal attributes
* Experience of working in a corporate environment
* Experience working on Microsoft Office programmes
* Excellent customer service skills, confident in liaising with Clients and strong communication skills
* Strong attention to detail and a critical eye for accuracy, with a ‘right first time’ attitude
* Ability to work under pressure within tight deadlines with flexible approach
* Continual improvement mentality, open and receptive to feedback
* Build and grow relationships with key Clients and service users
* Ownership for work produced in terms of the final product e.g. consistency, accuracy and quality
