We are seeking a dedicated and efficient Administrative Support Assistant to provide comprehensive administrative support to the ADHD Nurse Team, which delivers clinical services across Derby City, Derbyshire County, and Southern Derbyshire.

The successful candidate will play a key role in ensuring the smooth operation of the service, supporting the team in delivering high-quality care to patients and families across a wide geographical area.

It is Trust policy that for posts that are for a time-limited period, NHS-employed applicants will be appointed on a secondment basis with approval from their line manager before applying. Non-NHS applicants will receive a fixed-term contract.


Key Responsibilities:

1. Provide a comprehensive secretarial service to the designated team, including typing and word processing of letters, memos, minutes, reports, and other routine correspondence.
2. Ensure appointment letters are created and sent in a timely manner, and coordinate the nursing team's rotas on SystemOne to reflect their individual working patterns, identifying whether appointments are face-to-face or via telephone.
3. Send SMS reminders to reduce the rate of 'Was Not Brought' (WNB) appointments.
4. Manage the nursing team's time effectively by handling administrative tasks related to cancellations, re-booking appointments, WNBs, and urgent messages.
5. Follow internal guidelines for processing electronic referrals from departments, ensuring proper procedures are followed for clarity and efficiency.
6. Produce documents, charts, and tables using Microsoft Office applications such as Word, Excel, and Access, and disseminate information via email.

Team Composition:

The team includes a Senior Nurse, Lead Nurses, Registered Nurses, Specialist Support Workers, Occupational Therapist, Physiotherapist, Psychologist, and Consultant Psychiatrist.
