Position Purpose
As the Medical Operations Manager you hold an instrumental role within the Medical Affairs team, responsible for leading on the execution of a large variety of tasks and projects, including, process and operational enhancements, oversight of operational systems and outsourced teams, change management and compassionate supply while working collaboratively within a matrix team.
You will be responsible for liaising and developing partnerships with internal and external stakeholders to ensure successful communication and execution of these key activities on time, on budget, and compliantly.
Key Responsibilities
* Working with the Medical, Supply and Clinical Operations teams involved in compassionate supply (including Early Patient Access Schemes and Individual Patient Supply Requests), this role has the following key responsibilities:
o Managing the BMS UK&I compassionate supply process including operational delivery from end to end to ensure timely supply aligned to all local and global SOPs and regulations
o Lead the Medical operation tasks for BMS UK&I Early Patient Access Schemes (EAMS, PAA) as outlined in SOPs and Local Work Instructions
o Ensuring the operational elements of EAMS programs run smoothly, including liaising with relevant internal teams, and liaising externally to navigate any issues with EAMS sites, escalating for solutions
o Lead on the cross functional efforts of reviewing and updating of the EAMS SOP(s), Working Instruction and training materials
o Ensuring compliance with all relevant internal and external governance requirements
* Support/Lead on Audits impacting the entire Medical Affairs team (excluding Governance/compliance audits).
* Internal lead for our outsourced Signatory support team ensuring we have adequate support while ensuring our internal resources is utilized.
* Lead on keeping our Signatory Sign off Framework up to date and extracting metrics on sign off.
* Lead on monthly metric reports, quarterly business updates and the end of year medical report.
* Maintain oversight of all trackers and medicine lists and ensure they are completed by relevant team members monthly.
* Manage and maintain oversight of all BMS Medical sharepoints and digital information storage facilities.
* Support/Lead on the operational roll out of initiatives which impact the UK/I Medical team.
* Participation as an active member of the Medical Strategy, Operations and Governance team, including team meetings, communication and other activities.
* Proactively being involved in the identification and implementation of new ideas and opportunities for efficiency, improvement, simplification and cost saving.
* Work with the Medical Strategy, Operations and Governance Lead to create practical, forward-looking medical operational strategies, that will help the business to build the internal capabilities required to facilitate accelerated development and the long-term success of the medical organisation. This will include planning, design and implementation of day-to-day operational activities.

Knowledge and Skills
* Core
o Organisational skills and ability to prioritise multiple tasks and projects simultaneously
o Ability to learn and develop working knowledge of all key systems and processes (SAP, Concur, Veeva applications, Sharepoints, Teams etc.)
o Excellent information technology skills; good working knowledge of MS Office applications (Outlook, Word, PowerPoint and Excel)
o Ability to interact with all levels and functions within and outside the organisation (e.g. Disease Area Specialists, senior management, worldwide team, healthcare professionals, etc.)
o Close attention to detail and ability to manage complex tasks and projects autonomously
o Ability to handle confidential and sensitive information and demonstrate professional judgement
* Knowledge of ABPI Code of Practice
* Good working knowledge of the pharmaceutical industry
Qualifications
* Advanced tertiary level education (i.e. degree or Masters)
* Scientific background helpful
Experience
Required
* Project co-ordination skills supporting diverse teams at different levels in a business environment
* Med Ops Manager to have pharmaceutical industry experience
* Senior Med Ops Manager to have demonstrable extensive experience in a similar role, to have led on audits and on operational roll out of initiatives
* Demonstrated experience in working collaboratively with multiple stakeholders to common goals
* Experience in managing and prioritising conflicting work demands and projects during busy times to meet tight deadlines
* Experience in working in a fast-paced environment and demonstrated flexibility in adapting to changing requirements and business needs
* Solution focused and able to identify and implement process improvements
