Aureos are seeking a Site Administrator to provide support on our project in Cumbria. The Site Administrator plays a critical role in supporting the operational, logistical, and administrative functions of a large-scale construction site. This position ensures that site activities are well-coordinated, compliant with regulatory standards, and aligned with project timelines and budgets.
Key Responsibilities
Site Administration & Coordination
* Manage and file all site documentation, including permits, drawings, inspection reports, and daily logs. (In conjunction with the document controller)
* Coordinate with project managers, engineers, subcontractors, and suppliers to ensure smooth site operations.
* Schedule and organize site meetings, prepare agendas, record minutes (as required) and file all documents.
Compliance & Reporting
* Work with HSQE team to ensure adherence to health, safety, environmental, and quality standards.
* Assist in preparing compliance documentation for audits and inspections.
* Monitor and report on site progress, issues, and risks to senior management.
Workforce & Logistics Support
* Manage site access control, including induction processes and visitor logs.
* Support HR functions such as timesheet collection, leave tracking, and workforce records.
* Coordinate deliveries, equipment rentals, and material inventory tracking.
* Manage office and office supplies
* Manage cleaning and maintenance of office space.
Financial & Procurement Administration
* Work with the cost clerk and assist with procurement processes including purchase orders, invoice tracking, and vendor coordination.
Communication & Stakeholder Engagement
* Serve as a point of contact for internal and external stakeholders.
* Facilitate communication between site teams and head office departments.
* Support community engagement activities and manage correspondence with local authorities.
IT & Systems Management
* Maintain digital filing systems and ensure data integrity across platforms.
* Troubleshoot basic IT issues and liaise with technical support when needed.
Qualifications & Skills
* Proven experience in construction site administration or project coordination.
* Strong organisational and multitasking abilities.
* Excellent communication and interpersonal skills.
* Proficiency in MS Office Suite.
* Knowledge of construction processes, safety regulations, and document control.
