Senior Team Administrator
Part time - 32 hours per week, Secondment: 4 months
An exciting opportunity has arisen for an experienced and motivated Senior Team Administrator to join our Community Children’s Nursing Team at Croydon Health Services for a secondment period. We offer a truly integrated approach to paediatric nursing across acute and community settings, supporting seamless pathways for children and young people from hospital to home, whether for short-term admissions or long-term health needs.
We are seeking an organised and enthusiastic individual to provide high-quality administrative support to our busy and dynamic service. Working closely with the Children’s Community Nursing Team Matron, specialist nurses, and the wider multidisciplinary team, you will help ensure the smooth and efficient running of the service.
You will oversee day-to-day administrative operations, including ordering equipment, managing purchase orders and payments, supervising administrative staff, coordinating meetings, maintaining records, and supporting data collection and reporting.

Main duties of the job
1.To provide high quality, comprehensive administrative support to assist the Children’s Community Nursing Team to ensure the smooth functioning of the team, through effective communication, general administration and appropriate interactions with service users, staff and visitors.
2.The post-holder will respect confidentiality for work undertaken and have the ability to use their initiative, working with a minimum of supervision to deadlines, whilst maintaining a flexible approach.
3.To lead on ensuring effective and efficient day to day administrative support to children’s community nursing team Matron, community nursing team and relevant specialist nursing posts.
4.To assist in the research, collation, analysis and preparation of data from a variety of information sources for clinical audit and generally contribute to the implementation and development of modernisation projects within the team.
5.To undertake the role of line manager for junior admin staff on the wider paediatric nursing admin team.
6.The post holder will be able to work independently and will be capable of exercising an appropriate degree of initiative

Person specification
QUALIFICATIONS/ EDUCATION
* ECDL or equivalent IT qualification
* GCSE Education/NVQ 3/City and Guilds or equivalent
* Competent spoken and written English Legible handwriting
* Specialist qualifications/ extensive experience in the use of excel spreadsheets.
SKILLS/ABILITIES
* Understands the importance of confidentiality.
* Ability to develop effective interpersonal relationships with colleagues in the healthcare setting
* Ability to communicate in a variety of settings with patients, relatives of varying levels of understanding.
* Experience of administrative working in a healthcare setting.
* Experience of data collection and input into dashboards
EXPERIENCE
* Previous experience as a secretary/ service administrator.
* Knowledge and demonstrated experience of using Office applications including the use of Outlook electronic mail systems and use of routine office equipment.
* Experience of wide range of routine and complex clerical activities preferably within the healthcare setting or equivalent public sector.
* Knowledge of medical and pharmaceutical terminology
* Experience or understanding of the audit process
* Previous experience working in a setting with children with complex health conditions
* Experience of line managing junior admin staff/ team management
Knowledge
* Using Word, Powerpoint and Excel to a high standard. Excellent communication and interpersonal skills, including an excellent telephone manner.
* Attention to detail and accuracy.
* Ability to produce and proof read reports/documents to a high standard.
* Ability to compose basic correspondence.
* Knowledge of budgets and finance including managing invoices and purchase orders
