Offer description

We are looking for a part time receptionist to work 4 days per week within a very busy and friendly General Practice team.

Main responsibilities will be to cover the front desk and phones. Experience with EMIS is an advantage but training will be given. Although the role will primarily be covering the front desk and answering the phones you will also be required to deal with general administration and reception duties which may include, dealing with queries, electronic consultation requests, scanning and tasks from clinicians along with bookings and cancelling appointments.

The ideal candidate will have excellent communication skills, be hardworking, friendly, reliable and able to work on their own as well as part of a team.


Main duties of the job

Provide general admin assistance to the practice team and project a positive and friendly image to patients and other visitors both face to face and via the telephone.

Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice

Deal with all general enquiries, explain procedures, make new & follow-up appointment

Give results of investigations / tests, i.e. blood, urine etc. to patient

Enter patient information on to the computer as required

Open and close the premises as necessary

Effectively manage own time, workload & resources

An understanding, acceptance and adherence to the need for strict confidentiality

Any other general tasks as deemed appropriate to the post as requested by the Reception Team Leader or the Practice Manager


About us

We are a large and very busy surgery with over 15,000 patients.

We have 6 GP partners, 2 salaried GP's, 3 Nurses and 3 Health Care Assistants. We are also a training practice and currently have 4 GP trainees.

We are a friendly, encouraging and supportive team.

We offer the NHS Pension Scheme and four weeks annual leave plus bank holidays which is pro-rata.


Job responsibilities

RECEPTIONIST

JOB TITLE: RECEPTIONIST

HOURS: We are able to offer a maximum of 24 hours per week over 4 days covering a mixture of shifts starting and finishing times as below

7.30am - 1.30pm

12.30 - 6.30pm

This will include a late night (2pm - 8pm) as well as the occasional Saturday on a rota basis.

Job Summary:

Thepurpose of the role is to:

Offergeneral assistance to the Practice team and project a positive and friendlyimage to patients and other visitors, either in person or via the telephone

Receive,assist and direct patients in accessing the appropriate service or healthcareprofessional in a courteous, efficient and effective way

Undertakea variety of administrative duties to assist in the smooth running of the Practiceincluding the provision of clerical support to clinical staffand other members of the Practice team

Facilitateeffective communication between patients, members the primary health care team,secondary care and other associated healthcare agencies

Duties andResponsibilities:

Theduties and responsibilities to be undertaken by members of the Practiceadministration team may include any or all of the items in the followinglist. Duties may be varied from time totime under the direction of the Supervisor/ Assistant Practice Manager/Practice Manager, dependenton current and evolving Practice workload and staffing levels:

* Openingup/locking-up of Practice premises and maintaining security in accordancewith Practice protocols
* Maintainingand monitoring the Practice appointments system
* Processingpersonal and telephone requests for appointments, visits and telephoneconsultations and ensuring callers are directed to the appropriate healthcareprofessional
* Processingand distributing incoming (and outgoing) mail
* Takingmessages and passing on information clearly and correctly
* Filingand retrieving paperwork
* Computerdata entry/data allocation and collation; processing and recordinginformation in accordance with Practice procedures
* Initiatingcontact with and responding to requests from patients, other team memberand associated healthcare agencies and providers
* Providingclerical assistance to Practice and Trust staff as required includingword/data processing, filing, photocopying and scanning
* Keepingthe reception area, notice-boards and leaflet dispensers tidy and freefrom obstructions and clutter
* Carryingout any other duties as requested.

* Inthe course of seeking treatment, patients entrust us with, or allow us togather, sensitive information in relation to their health and othermatters. They do so in confidenceand have the right to expect that staff will respect their privacy and actappropriately
* Inthe performance of the duties outlined in this Job Description, thepost-holder may have access to confidential information relating topatients and their carers, Practice staff and other healthcareworkers. They may also have accessto information relating to the Practice as a business organisation.All such information from any source is to be regarded as strictlyconfidential
* Informationrelating to patients, carers, colleagues, other healthcare workers or thebusiness of the Practice may only be divulged to authorised persons inaccordance with the Practice policies and procedures relating toconfidentiality and the protection of personal and sensitive data

* Usingpersonal security systems within the workplace according to Practiceguidelines
* Identifyingthe risks involved in work activities and undertaking such activities in away that manages those risks
* Makingeffective use of training to update knowledge and skills
* Usingappropriate infection control procedures, maintaining work areas in a tidyand safe way and free from hazards
