Job title: Corporate Receptionist

Location: Reading – 5 days a week in the office (must be within 30 minute travel time)

Salary: £28,000 - £32,000 p/a (DOE)

XMA is seeking a polished, professional and highly organised Corporate Receptionist to join our team at our Reading headquarters.

This is more than a traditional front-of-house role — you will be the face of our HQ, creating a first-class experience for visitors, clients and colleagues, while also providing high-level administrative and executive support to senior leaders.

This position is ideal for someone who thrives in a fast-paced corporate environment and takes pride in delivering exceptional service with professionalism and discretion.

You’ll be the welcoming face of XMA HQ and a trusted right-hand to a small group of senior Executives, helping everything run smoothly behind the scenes.

Key Responsibilities: Corporate Receptionist


Front of House & Workplace Experience:

* Welcoming visitors, clients and colleagues to HQ with professionalism and warmth

* Managing the reception area to ensure a polished and organised environment

* Providing refreshments and supporting internal and external meetings

* Acting as the main point of contact for building and meeting room coordination

* Supporting office events and leadership sessions


Executive & Administrative Support

* Managing diaries and coordinating meetings for senior stakeholders

* Acting as a gatekeeper for incoming calls, visitors and meeting requests

* Drafting and formatting documents and presentations

* Preparing meeting agendas and board packs

* Taking minutes and tracking follow-up actions


Travel & Logistics

* Booking UK and international travel (flights, hotels, transfers, visas)

* Preparing detailed itineraries and managing last-minute changes


Operational Support

* Managing expenses, invoices and purchase orders

* Supporting ad-hoc projects and administrative tasks

* Ensuring smooth day-to-day office operations

Requirements: Corporate Receptionist

We’re looking for someone who enjoys working at the heart of a busy HQ, confidently balancing Executive support with being the welcoming first point of contact, and who takes pride in keeping everything running seamlessly behind the scenes. You'll be someone who is:

* Naturally organised and calm under pressure
* Confident dealing with senior stakeholders
* Friendly, professional and welcoming
* Discreet, reliable and trusted with confidential information

You’ll ideally have:

* Experience & Skills

o 2+ years’ experience in a Corporate Receptionist, Front of House, PA, EA or senior administrative role

o Strong organisational and diary coordination skills

o Excellent written and verbal communication

o Confident using Microsoft Office (Outlook, Word, PowerPoint, Excel)

o Experience in a corporate or professional services environment desirable
