We are seeking a part-time Practice Manager who shares our ethos of maintaining a caring compassionate environment for the benefit of both staff and patients. The surgery in Ashford is close to Staines, Sunbury and Kingston near the M3/M25. It is highly regarded with a list size of 3,200 patients. Main duties of the job
As Practice Manager responsibilities include compliance, HR, CQC, Contract and QoF management, payroll oversight and finance, partner liaison, complaints, premises maintenance. You will have the support of a dedicated team, including an experienced Deputy Practice Manager. To support a smooth transition, our current Manager, who has been in post 18 years, will provide a comprehensive handover. She will return after a sabbatical in a consultancy supportive role, ensuring built-in mentorship and continuity.

2 GP Partners, a salaried GP, a weekly Locum, practice nurse and clinical pharmacist.

Job responsibilities
Key responsibilities
Thefollowing are the core responsibilities of the Practice Manager. There may be,on occasion, a requirement to carry out other tasks. This will depend onfactors such as workload and staffing levels.
Finance
Together with accountancy support, responsiblefor the finances of the practice
Ensure the organisational requirements of thepractice contracts with NHSE are fully met and complied with
Support the Partners to develop and implementprocesses to achieve clinical targets of QOF and enhanced services.
Directly contribute to profit improvement byexploring areas for increasing income and reducing costs.
Liaise with the accountant, bank, and businessinsurance companies as appropriate or as directed by the Partners.
Oversee the administration of the NHS Pensionand Stakeholder Pension Schemes
Liaise with the ICS and payment agenciesregarding queries with payments relating to the contract, e.g. enhancedservices.
Manage the Partners drawings in consultationwith the accountant.
Strategic Planning
Working with colleagues and the Partners to.
Keep abreast of current affairs and identify potentialopportunities and threats.
Assess and evaluate accommodation requirements and managedevelopment and expansion opportunities if appropriate.
Assist the practice in the wider community andwith forging links with other local practices, education bodies, the LMC andrelevant agencies and in particular working collaboratively within the PCN.
Formulate objectives and research and develop ideas forfuture practice development.
To make recommendations to the Partners for practicedevelopment about enhancing patient services and potential sources ofincome
Leadand coordinate projects within the practice.
Human Resources
Overall responsibility for all aspects of HR
Recruitment and selection of staff working, includingcontracts of employment and job descriptions.
Employment Law compliance for the disciplinary and dismissalprocess and after discussion with the partners take any legal advicenecessary.
Awareness of current employment legislation
Development and maintenance of good employee/employerrelationships
Ensuring that members of the existing staff team are aware ofany changes that occur in the practice.
To maintain good communication at all times with the practiceteam
To oversee rotas whichallow good staff cover at all times as well as giving the flexibilityrequired at short notice to cover for illness, etc.
Workforce planning to ensure a good skill mix with staff having theappropriate level of training to enable them to carry out their individualroles and responsibilities effectively
Toimplement pay rises/scales and increments at the appropriate time.
Responsibilityfor appropriate paperwork for doctors/staff DBS (Disclosure and BarringService) checks
Tomeet with PCN and attached staff as and when necessary and arrange/attendregular meetings with partners to discuss all issues around patient care.
Toensure that suitable facilities are available to enable all staff to workwithin the practice.
Beresponsible for the health and safety policy and its implementation.
Facilitatethe development of a multi-disciplinary effective primary health care team.
Information Technology
Ensure the update of appropriate information governancesystems.
Ensure all Practice IT and telephone systems are functioningeffectively.
Ensure the IG and DSP toolkit requirements are met.
Keep abreast of new technology and ensure existing IT is usedto its full potential.
Ensure that the Practice complies with NHS contractualobligations in relation to patient care.
Maintain registration policies and monitor patient turnoverand capitation.
Oversee and manage effective appointment systems.
Routinely monitor and assess practice performance againstpatient access and demand targets.
Premises and Equipment
Manage all aspects of the related practice premises.
Represent the practice to negotiate leasing contracts andtheir renewals.
Liaise with NHSE in notional rent review.
Ensure property owned by the partners is safe, effective, andfit for purpose.
Be responsible for planning and premises expansion projects.
CQC/Compliance
Oversee and maintain compliance with CQC regulations andensure that the practice meets the essential standards and is inspectionready.
Ensure the practice maintains compliance with its NHSE contractualobligations.
Communication
Ensure compliance with the latest NHS recommendations andGDPR.
Understand the practice communication systems.
Build/maintain good working relationships with the NHSE, ICShospitals, community agencies, other GP practices, PCN, pharmacists,education bodies, voluntary and private organisations.
Represent the practice at meetings and seminars.
Assist and support the Partners corporately and at individuallevel to fulfil the requirements of revalidation.
Present a professional image and always promote the practice.
Share skills and expertise with others.
