SureScreen Scientifics Ltd is a world-class laboratory testing. The impressive 1740's Georgian house, only 10 minutes from Derby, surrounded by beautiful gardens, orchard & beehives often frequented by deer, has been renovated over the last 10 years to a busy state of the art scientific laboratory. We are looking for someone to join us for a 9 month contract for maternity cover with a real possibility of contract extension as well as the real possibility for a permanent position. Job Purpose: The role is to provide vital administrative and operational support across finance, sales, and business functions, enabling the organisation to run efficiently and deliver exceptional service. Key Accountabilities and Responsibilities: 1. Sales Administration Process incoming sales orders received via telephone, email, or online systems with accuracy and efficiency. Manage customer payments securely and ensure all transactions are properly recorded. Collaborate with the sales and technical teams to ensure smooth order fulfilment and customer satisfaction. 2. Financial Administration Oversee the accurate creation and processing of customer invoices, including manual and automated requests. Investigate outstanding debts, liaise with clients to resolve payment issues, and provide supporting documentation as required. 3. Business and Office Administration Manage courier services, including organising deliveries and returns, resolving delivery issues. Confirm goods receipt. Maintain oversight of shared mailboxes (e.g., Scientifics and eDNA), ensuring timely and professional responses. Perform reception and front-of-house duties, including answering and directing calls, managing mail distribution, booking meeting rooms, and greeting visitors. Administer supplier documentation processes, including onboarding new suppliers and managing annual supplier questionnaires. Handle customer enquiries and complaints promptly, ensuring issues are recorded, investigated, and resolved in line with company standards. Provide administrative support to technical teams, assisting with documentation, scheduling, and project coordination as required. Support inventory management by conducting stock takes of finished products and components, verifying that data is accurate and consistent.
