Responsibilities include:
1. Proactively managing Fee Earner diaries, including scheduling meetings and appointments.
2. Handling new client enquiries, initiating and completing the setup of new matters, and carrying out all onboarding and due diligence procedures, such as ID verification and compliance with anti-money laundering regulations.
3. Accurately transcribing, printing, and processing dictations in a timely manner.
4. Efficiently organising, scanning, and e-filing documents within the Case Management System, while also maintaining up-to-date and well-ordered paper files.
5. Overseeing the monthly billing process, including the preparation and coordination of invoices, as well as following up on outstanding payments.
6. Processing payment requests and recording financial transactions, liaising with the Accounts Team as necessary.
7. Managing the opening and archiving of both physical and digital client files.
8. Responding to routine client correspondence and enquiries professionally and promptly.
9. Greeting and assisting clients in person and over the telephone with confidence and excellent interpersonal skills, delivering a high standard of client care.
10. Liaising effectively with third-party agencies, including Counsel, Courts, Experts, and other solicitors.
11. Maintaining strict confidentiality regarding all client and firm-related information and documentation.
12. Demonstrating proficiency in Microsoft Word, Outlook, and Excel, and having experience using electronic Case Management Systems.
13. Providing general administrative support to the Family Law Team and office as needed.
