Job overview The post holder will be responsible for day-to-day administration duties related to that of a support secretary to ensure the management of timely diagnostic reports and patient correspondence for our pathology service. You will work closely with the Office Manager and Medical Secretaires and support the Consultant team to ensure that all service requirements are met. You will be expected to always show respect and dignity towards your colleagues and patients. The post holder will be based in the administration office in Warrington Pathology Department and will be working across all sections of pathology. You will need to liaise with clinicians at all levels, managers within the Trust and with external organisations. You will be speaking directly with patients liaising with them regarding their appointments and occasionally supporting with the typing of clinical letters. Advert W ork under the supervision of the office manager following standard operating procedures and referring any issues to the office manager for resolution. Type back (within agreed Trust timescales and guidelines), from digital/audio dictation, macroscopy and microscopy reports, and patient correspondence. Ensure that all priority reports/letters are completed on a daily basis in the absence of Senior Medical Secretaries. To dispatch signed letters to post and return medical records to medical records promptly. Conduct weekly office stock checks, including address labels, histology slide containers, plastic bags, histology green report paper. Dealing with emails requesting the referral of material to other hospitals. Provide competent and high-level support service to medical secretaries, Consultant Histopathologists and other staff. Provide support to the consultants and junior medical staff when other secretaries are absent due to sickness, annual leave, and training. Provide flexible cover/support for secretarial colleagues during periods of sickness, annual leave etc. First point of contact for telephone enquiries and sending reports to outside hospitals. Recording material that has left the Trust and tracking it back in as required. Returning and retrieving blocks and slides from the archive on a regular basis. Deal with all types of correspondence including that relating to medical reports and post-mortems and cancer reports on a twice daily basis.
