EXPERIENCED TEAM SECRETARY - MATERNITY COVER - 16 MONTHS
[TBC 08.30 TO 17.00 / 09.00 to 17.30]
The candidate should be:
* Someone who is looking for a varied role and who is flexible in their approach to team working and an ever-changing workload
* Have excellent skills in Microsoft Office 365 – particularly in Outlook
* Experience managing complex meetings with internal and external contacts would be beneficial
* Be smart in their appearance
* Be professional in their presentation and telephone manner
* Be able to prioritise their workload and communicate clearly with the fee earning team
* Have excellent communication skills
* Appreciate that work within the environment is highly confidential
* Be able to multi-task and remain calm under pressure

* Have 5 years’ plus experience in a professional background
Main Responsibilities of the Post
The Support Team consists of two sections Admin and Design. This post is within the Admin Team which currently consists of four EAs and one Receptionist/Admin Assistant.
The specific role will be supporting a Team consisting of approx. 8 members at all levels within the organisation.
Duties include:
* Arranging meetings, lunches, dinners and events for the Team
* Booking internal/external meeting rooms, venues, etc.
* Travel arrangements
* Supporting the team logging expenses using SAP Concur
* Answering telephone calls received from the main switchboard and Security who will be announcing the arrival of guests
* Entering information onto the Company’s databases; Salesforce, ClientConnect
* Assist with some occasional document work, e.g. creating pdf’s, adding signatures, etc.
* Printing and binding requests – which can sometimes be last minute
Training will be provided to cover all aspects above.
