To provide high quality administrative support to undergraduate, taught postgraduate, apprenticeship and professional development programmes within the School of Education, Learning and Communication Sciences (SELCS). Working as part of a team, the will provide day-to day administrative support for admissions, course administration and quality assurance processes and will deliver excellent customer service by providing information, guidance and support for students, staff and external partners and organisations.
This is a temporary, 18.25 hours per week until 3/7/26. This is a hybrid, working at the Applied Linguistics department and working from home. Working pattern will be discussed locally.
Duties and responsibilities
To work independently and part of a team, taking ownership of allocated tasks and activities, ensuring that all departmental, University and appropriate external procedures, deadlines, regulations, quality standards and requirements are monitored and adhered to.
To support a culture of continuous improvement by engaging with programmes of change and supporting implementation of new processes and systems.
To maintain accurate and secure data records in accordance with internal and external regulatory and legal requirements.
Produce data and generate reports as directed to support senior colleagues with activities such as internal and external audits and inspections.
To ensure that information relating to the designated area of work is accurate, current and available to the intended audience, e.g. electronic documents are controlled and well managed and intranet content is refreshed at appropriate intervals
To develop a broad knowledge of internal and external regulations, quality assurance procedures and legal requirements, building expertise in a key area, providing advice and guidance to students, staff and external stakeholders.
To ensure that all student and staff enquiries relating to designated areas of work are dealt with accurately, efficiently and courteously, taking responsibility for routing queries to the correct team, where appropriate.
Participates in, staff development and training activities in pursuance of personal and professional development, and in support of the needs of the business.
To provide secretariat services by supporting the planning and organising of, department student and staff meetings and events, taking take minutes and action points at meetings, as required
The post holder will be allocated to a specific team within the PGT, UG and Apprenticeship admissions and course administration function of the School. This allocation may change depending on business need, providing resilience across the team and giving the opportunity to gain a broader experience across the full range of courses offered in the School. The postholder will work collaboratively with team members to provide a consistently high level of service across all activities listed below in their designated area.
Skills and experience
* Educated to at least A level standard or equivalent, to include minimum grade C GCSE Maths and English or equivalent, or with equivalent work experience.
* Previous experience of working as part of a team in a busy customer-focused, fast-paced office environment
* Significant experience in an administrative
* Excellent written and verbal communication skills
* Excellent interpersonal diplomatic skills
* Confidence and discretion dealing with confidential matters
* Strong IT skills, including Excel, Word, Outlook
* An understanding/knowledge of issues relating to student experience. A high level of awareness and understanding of student concerns and of students’ needs and expectation
* Understanding of the regulatory requirements involved in course provision
* Ability to work both as part of a team and independently
* Ability to prioritise workload, work to tight deadlines, prioritise several tasks simultaneously and approach tasks in an organised and structured manner
* Ability to relate to individuals from a variety of diverse backgrounds, cultures, ages and experience with courtesy and professionalism, establishing and maintaining cooperative working relationships
